Job Description

The QA Specialist is responsible for ensuring the accuracy, compliance, and integrity of payroll, benefits, and tax processes. This role focuses on auditing payroll transactions, validating tax set up, tax payments, tax filings, and implementing quality assurance measures to minimize errors and maintain compliance with federal, state, and local regulations.

Key Responsibilities

Quality Assurance & Auditing

• Conduct regular audits of payroll data, tax set up, benefits enrollment and filings to ensure accuracy and compliance.


• Review system-generated reports and identify discrepancies or anomalies.


• Validate employee tax withholdings, employer contributions, and tax remittance across multiple jurisdictions.

Compliance & Risk Management

• Ensure adherence to federal, state, and local payroll tax regulations.


• Monitor legislative changes and update processes accordingly.


• Assist in internal and external audits by providing accurate documentation and reports.

Process Improvement

• Develop and maintain QA checklists and testing protocols for payroll and tax processes.


• Collaborate with payroll operations and IT teams to enhance system accuracy and efficiency.


• Recommend process improvements to reduce errors and improve compliance.

Reporting & Documentation

• Prepare detailed QA reports highlighting findings, trends, and corrective actions.


• Maintainaccuraterecords of audits, validations, and compliance checks.


• Ensure that SOPs are updatedtimelyand accurately

Training

• Provide process coaching and training to Payroll, Tax and Benefits team members.


• Conduct Annual Process Certification and refresher training.

Qualification and requirements

Skills

• Excel expert, preferably with hands-on experience creating Excel macro


• Strong analytical and problem-solving skills.


• Proficiencyin payroll systems (e.g., Prism, Zendesk,etc) and Excel.


• Excellent attention to detail and organizational skills.


• Collaborative and skilled communicator


• Experience in Prism and Master Tax

Preferred Qualifications

• CPP (Certified Payroll Professional) or FPCpasser.


• Experience with automated QA tools and payroll testing environments.

Non-negotiable skills & requirements

• 3+ years of experience in payroll, tax compliance, or quality assurance.


• Familiarity with multi-state payroll and tax regulations.
