The Team Assistant provides administrative and operational support to the Client Experience team, assisting with client onboarding, ASIC administration, compliance activities, documentation management, and stakeholder coordination. The role is responsible for maintaining accurate records, processing documentation, supporting client-related administrative tasks, and ensuring established procedures are followed to deliver an efficient and high-quality client experience.
Key Responsibilities- Managing correspondence with clients and other external and internal parties
- Processing ASIC annual company statements
- Arranging the establishment of client entities and ASIC business administration
- Drafting engagement letter, ethical letter, and implementation plan
- Electronic filing and collation of documents related to client onboarding
- Setting up electronic corporate registers and trust registers related to client onboarding
- Linking and updating client information with ASIC and other regulatory bodies, including preparing and lodging forms
- Making and receiving phone calls from clients and internal and external parties related to onboarding matters
- Preparing and updating client group structure charts
- Other foregoing tasks as may be assigned by the Employer/Client
- Completing checklists and following processes accurately and efficiently
- Ad hoc administrative duties as required, including supporting staff in all areas of Bentleys when needed
Experience- 1-2 years of administration, client support, customer service, or back-office operations.
- Experience supporting Australian or international clients in a professional services or shared services environment.
- Experience in client onboarding, compliance, AML, corporate administration, document verification, or regulatory support.
Skills- Strong administrative and documentation skills, with experience maintaining records, processing forms, and handling compliance-related or client-facing documentation.
- Excellent written and verbal English communication skills.
- High attention to detail and accuracy.
- Strong organizational skills and the ability to manage multiple priorities, deadlines, and administrative processes simultaneously.
