Job summary

Qualifications

• Demonstrated experience in procurement planning, supplier management, contract negotiation, and inventory control.
• Strong knowledge of procurement policies, competitive bidding, purchasing procedures, and internal controls.

Responsibilities

• Develop annual and periodic procurement plans based on hospital needs and budgets.
• Consolidate monthly requirements from clinical, pharmacy, laboratory, facilities, and administrative departments.
• Forecast demand and anticipate critical or seasonal supply needs.
• Identify, evaluate, and qualify reliable suppliers and maintain an approved database.
• Negotiate prices, payment terms, delivery schedules, warranties, and service agreements.
• Monitor supplier performance, quality, and compliance.
• Manage purchase requisitions, quotations, purchase orders, and contracts.
• Ensure procurement follows donor requirements, policies, and applicable laws.
• Obtain competitive quotations and conduct transparent supplier selection.
• Ensure proper documentation for emergency purchases.
• Maintain accurate records of medicines, supplies, equipment, and other stock.
• Establish stock levels and reorder points; monitor movements and replenishment.
• Conduct regular inventory counts and reconcile discrepancies.
• Coordinate with pharmacy, nursing, lab, OR, and clinical teams for critical needs.
• Monitor expiry dates and apply FEFO where applicable.
• Ensure proper receiving, inspection, labeling, storage, and issuance of supplies.
• Maintain storage conditions, including temperature and security.
• Supervise procurement, purchasing, warehouse, and inventory staff.
• Train staff on procurement policies, inventory controls, and ethics.
