Job summary
A project management firm is seeking a Document Management Specialist in Makati City. Responsibilities include ensuring effective document management, maintaining project records, and overseeing departmental forms. Candidates must have at least a Bachelor's degree and 2 years of relevant experience. Proficiency in MS Office is required. Relocation to Makati City is preferred.
Qualifications
- Minimum of 2 years working experience in a related field.
- Preferably experienced in Clerical/Administrative Support.
Responsibilities
- Ensure proper Document Management according to established procedures.
- Maintain project records and documents efficiently.
- Act as project custodian of incoming and outgoing documents.
- Monitor submission timelines and responses.
- Oversee form usage by departments per project standards.
- Implement department quality plans as assigned.
- Liaise with organizations for consistent documentation standards.

Duties and Responsibilities
- Ensure Document Management accordingly to establish procedures or standards (document numbering, formats, issuance, review, dispatch, recording, and archiving)
- Maintain and update records and documents of the project
- Act as the project custodian of all incoming and outgoing documents in a manner that they are properly documented for easy retrieval.
- Monitor and keep track of all submittals especially those that require immediate response or action.
- Oversee the proper use of all forms by every department and see to it that they conform to the standards and procedures set by the project.
- Ensure the implementation of the quality plans and objectives of the department and Project assignment.
- Communicate and liaise with the other organization to agree on standards, systems, efficient flow of documentation, handover, and close-out of activity to ensure consistency in document control as required
- Perform tasks in accordance with the processes defined in the company’s manual.
Qualifications
- Candidate must possess at least a Bachelor's/College Degree, Finance/Accountancy/Banking, Human Resource Management, Business Studies/Administration/Management or equivalent
- Required skill(s): MS Office
- At least 2 year(s) of working experience in the related field is required for this position.
- Preferably 2 to 4 Yrs Experienced Employees specializing in Clerical/Administrative Support or equivalent.
- Willing to relocate
