ABOUT THE ROLE
A Project Administrator will be responsible for supporting project management activities, ensuring that projects are completed on time, within scope, and within budget. This role involves coordinating with various departments, maintaining project documentation, and assisting in the overall project planning and execution process.
KEY RESPONSIBILITIES
- Assist in the development and maintenance of project schedules and plans.
- Monitor project progress and provide regular updates to project managers and stakeholders.
- Communicate with team members and stakeholders to ensure project requirements are met.
- Assist in risk management and issue resolution throughout the project lifecycle.
- Ensure compliance with customer health and safety requirements.
- Vehicle and fleet management for multiple sites and projects.
- Responsible for all scheduling requirements of teams, resources and customers.
- Deliver effective end to end mobilisation coordination for new and current employees - booking medicals, training, completing required documentation as per each client requirement, organising flights
- Maintain mobilisation matrix per site with accurate detail for all project managers and site staff to access when required
- Provide effective support to Site and Project Managers including training organisation, tracking and coordination
- Provide support to Site and Project Managers in relation to HR queries with the support of HR Manager.
- Ensure the maintenance of employment records for all employees ensuring legislative requirements are met
- Liaise with site regarding workforce profiles and manpower planning
- Produce and deliver Purchase Orders relevant to Project Requirements whilst maintaining the Invoice Pending Report with the procurement team.
- Assist Project Managers with finance and administration tasks including updating monthly project forecast and reconciling credit card and Weel cash expenses
- Provide effective administrative and coordination support to the PMO including organising and minuting stakeholder meetings; ensuring projects adhere to established frameworks; maintaining project documentation as required; and ensuring action items from internal meetings are followed through.

- Problem solving skills, to identify conflicts and potential issues that will impact project success.
- Demonstrated experience in resource management and scheduling.
- Demonstrated knowledge of safety and compliance requirements in the Australian minging sector.
DESIRABLE TECHNICAL SKILLS
- Proficiency with project management software and tools
- Proficiency with Microsoft suite.
- Proficiency with compliance and safety software.
