Job summary

Publicis Groupe in Manila seeks an Operations Manager/Executive to maximize agency efficiency and profitability across job lifecycles. You'll work with Finance, Commercial and Operations teams, supporting Account Leads to streamline onboarding, approvals, and administrative closure for client campaigns.

You will be the process owner, reducing friction and ensuring compliance while driving revenue growth and client satisfaction across multiple accounts.

Responsibilities

• Offload financial administration, system updates, and procurement liaison tasks from Account Leads.
• Own end-to-end client onboarding and ensure Altair platform compliance.
• Proactively manage the financial pipeline, chasing POs and clearing billing bottlenecks.
• Identify recurring friction and implement systemic improvements for faster turnaround times.
• Follow up on delayed invoice approvals and billing reminders to avoid backlogs.
• Oversee end-to-end job lifecycle closure and final administrative completion.

Overview

This is a critical, high-impact role created to maximize agency efficiency, protect profitability, and free up our commercial teams to focus entirely on client strategy, creative excellence, and revenue growth. As the Operations Manager/Executive, you will work closely with multiple stakeholders in Publicis Groupe, including Finance Commercial and Operations team, and support Account Leads to own the end-to-end operational health of our job lifecycles.

When a new job is confirmed, you will kickstart follow-up communication threads, manage client touchpoints, handle onboarding via Altair - a Groupe owned proprietary finance system, and drive administrative completion through final job closure. You will own, optimize, and enforce the process to eliminate administrative friction and ensure complete operational compliance across all agency accounts.

Responsibilities

• Workflow Ownership & Enforcement: Act as the ultimate gatekeeper of the post-win workflow, immediately taking full accountability for all operational steps once a job is confirmed.
• Account Team Liberation: Systematically offload all financial administration, system updates, and procurement liaison tasks from Account Leads, allowing them to focus 100% on billable work and client retention.
• Client Onboarding: Serve as the agency's subject matter expert for the Altair platform, managing end-to-end client onboarding and system compliance with minimal oversight.
  Financial & Administrative Management: Proactively manage the financial pipeline by aggressively chasing purchase orders (POs), clearing billing bottlenecks, and resolving delayed invoice approvals to eliminate revenue backlogs.
• Process Optimization: Identify recurring operational friction points between clients, account teams, and Publicis Groupe finance, implementing systemic solutions to improve agency turnaround times.
• Invoice & Approvals Tracking: Proactively follow up on delayed invoice approvals and billing reminders to avoid backlog
• Job Lifecycle Closure: Oversee end-to-end administrative requirements until the job is fully resolved and officially closed.

Qualifications

• Proven experience in stakeholder management, operations management, project coordination, or account operations.
• Exceptional communication and interpersonal skills to liaise with clients and internal account teams.
• Highly organized and proactive with a strong follow-through mindset.
• Basic understanding of billing, invoicing, and financial lifecycles.
• Familiarity with client management platforms is an advantage.
