Position title: Operations Assistant
Reports to: Operations Manager
Estimated Work Hours: 35 hours per week (9.00am – 5.00pm AEST)
Required Tasks
• Assist during morning triage by adding or updating information in relevant support tickets
• Proactively assist in the review of large volumes of support tickets with diligence and attention to detail
• Sending and following up of client emails and creating new support tickets
• Utilise office software and scheduling tools to streamline administrative processes
• Provide timely support to the team by addressing queries and requests efficiently and effectively
• Take initiative in leading and executing tasks independently with minimal supervision
• Identify workflow challenges and assist in the implementation of practical solutions to enhance efficiency
• Maintain team calendars to ensure seamless scheduling and effective time management
• Ensure accuracy and consistency in documentation, scheduling and communications
• Monitor tasks, deadlines and project progress to ensure timely completion
• Uphold confidentiality and professionalism when handling sensitive or private information
• Handle incoming and outgoing phone calls and emails with a high level of professionalism and timeliness
• Maintain comprehensive and accurate records to support smooth daily operations
