This function is responsible for supporting the maintenance and preparation of importation documentation to ensure audit-readiness and compliance with Bureau of Customs (BOC) requirements. It contributes to the accuracy, organization, and availability of import records to assist in the logistics process and mitigate compliance risks.

Assists in ensuring that importation-related documents are up-to-date, complete, and readily accessible in support of internal logistics and BOC post-clearance audits.

DOCUMENTATION AND RECORD SUPPORT

  • Assists in preparing and updating the Importation Summary, which provides the necessary details of all shipments over a span of at least three open years, in line with BOC audit requirements
  • Helps maintain the APRI Import Document Database to support audit compliance and reference for the Post Clearance Audit (PCA)
  • Supports the centralized storage of customs-related data, including shipment details, declarations, duties, and taxes
  • Aids in tracking and organizing import/export records to support easy retrieval and verification when needed

COMPLIANCE AND AUDIT PREPARATION

  • Supports the preparation efforts for BOC Post Clearance Audit (PCA) by ensuring relevant documents are complete and properly filed
  • Assists in the use of the BOC Calculator Tool to verify declared customs values, identify areas needing broker clarification, and improve data accuracy
  • Helps ensure correctness of declared information to avoid potential issues during customs audits
  • Aids in implementing proper documentation practices aligned with BOC regulations and CMTA Section 1003

Logistics Support Functions

  • Provides general support to the Logistics Team by helping monitor and validate importation documents
  • Contributes to the simplification of document handling processes for easier tracking and improved control
  • Assists in integrating shipment details and supporting documentation with internal logistics systems
  • Helps validate customs entries against actual shipments to ensure alignment and prevent discrepancies

DATA MANAGEMENT ASSISTANCE

  • Helps maintain a centralized import/export document system for data accuracy and audit readiness
  • Assists in ensuring retention of historical import records for at least three open years
  • Supports internal reviews by providing assistance in data gathering and validation
  • Coordinates with Logistics and Supply Chain teams to ensure updated and accurate customs-related records

RISK AND COMPLIANCE SUPPORT

  • Aids in identifying inconsistencies in importation data that may pose audit risks
  • Helps in the implementation of preventive measures by flagging questionable values or incomplete documentation
  • Supports risk mitigation efforts by contributing to the completeness and accuracy of records submitted to BOC
  • Assists in aligning internal practices with audit and compliance expectations to help avoid financial or reputational exposure

Minimum Qualifications

  • At least completed two (2) years of college education
  • Preferably with a background in Business Management, Accounting, Industrial Engineering, or any related course
  • With at least 6 months to 1 year of relevant experience in clerical or administrative tasks
  • Proficient in Microsoft Office applications (Word, Excel, Outlook, PowerPoint)
  • Strong attention to detail and organizational skills
  • Able to multitask and manage time efficiently
