Job description

Position Title: Junior Operations Manager

Work Set Up: On-site

Schedule: 9:00 PM to 6:00 AM PH Time

Job Location: Clark Outsourcing - Building 35 Philexcel Business Park, Clark Pampanga

Quick Rundown:

The Junior Operations Manager supports daily administrative and scheduling operations with a focus on delivering excellent customer service. Acting as senior support for the Customer Care team, this role ensures efficient appointment scheduling, issue resolution, and smooth communication between staff and patients. Ideal for candidates with healthcare scheduling experience looking to step into operations and quality assurance responsibilities.

What Youll Do:

  • Operations & Workflow Support
    • Monitor daily workflows to ensure scheduling accuracy, timely patient communication, and proper documentation across systems (ABS, CT, Outlook, etc.).

    • Serve as a point of contact for team questions and minor escalations related to client or caregiver concerns.

    • Assist in identifying delays, missed follow-ups, or incomplete logs and help coordinate resolution in real-time.

  • Customer Care Excellence
    • Support appointment scheduling, patient follow-ups, and care coordination when needed.

    • Ensure patients and caregivers are communicated with in a timely, compassionate, and accurate manner.

    • Participate in reviewing messages and documentation to confirm alignment with client expectations and internal protocols.

  • Staff & Schedule Coordination
    • Coordinate with schedulers or do the scheduling, caregivers, and healthcare providers to ensure proper shift coverage.

    • Help manage daily or weekly changes in scheduling needs, including short-notice adjustments, no-shows, or cancellations.

    • Monitor staff handovers and confirm clear EOD notes and log updates are completed.

What Were Looking For:

  • Education: Associate's or Bachelor's degree in healthcare administration, business, or related field preferred.

  • Experience: 2-3 years in a customer service, scheduling, or administrative operations role within a healthcare or service-based environment.

  • Skills:
    • Strong organizational and communication skills

    • Detail-oriented with excellent follow-through

    • Ability to multitask and manage daily workflows in a fast-paced environment

    • Proficient in tools such as ABS, CT, Google Workspace, Outlook, and scheduling systems

    • Professional, proactive, and solution-focused mindset

  • Ideal Candidate:
    • Thrives in a team environment but can work independently when needed

    • Has a strong sense of urgency and accountability

    • Understands healthcare scheduling and customer service fundamentals

    • Is ready to take the next step toward operations leadership without full management responsibilities
