Job summary

AECOM Philippines, Inc. is seeking an IMS Administrator to provide day-to-day administrative and document management support for the Integrated Management System. You will partner with HR policy leads and cross-functional teams to ensure policies and forms are accurate, compliant, and maintained.

The role emphasizes editorial accuracy, content governance, and continuous improvement across HR processes. The successful candidate will have a bachelor’s degree, strong MS Office and Adobe Acrobat

Qualifications

  • Bachelor’s degree or 4+ years of relevant work experience.
  • Proficiency in MS Office tools and Adobe Acrobat Pro DC.
  • Excellent English communication skills, both oral and written.
  • Excellent research skills.
  • Experience with IMS processes, technical writing or copy-editing and reporting/data analytics.
  • Experience across core HR functions (e.g., Compensation, Benefits, Performance Management).
  • Willingness to work night schedule and 3 days onsite per week.

Responsibilities

  • Work with HR Policy Leads to prepare documentation for IMS entry.
  • Identify process gaps and apply cross-department solutions.
  • Perform editorial checks on content.

  • Promote IMS as the single source of truth with ecosystem Content Managers.
  • Reduce redundant content by coordinating with Content owners.

  • Execute moderately complex tasks per SLAs and procedures.
  • Maintain up-to-date processes and documentation.

Job Brief

This role is responsible for providing day-to-day administrative, coordination, and document management support for the Integrated Management System (IMS), ensuring that HR policies, procedures, and forms are accurate, compliant, and effectively maintained. The role partners closely with HR Policy Leads, Content Owners, and cross-functional teams to work on moderately complex tasks aligned with IMS governance standards

Responsibilities & Duties
Integrated Management System – HR
  • Work closely with HR Policy Leads in the preparation of their documentation for entry into IMS
  • Identify gaps in the process, analyze, and apply solutions where collaboration between HR and other departments influencing the process has not occurred
  • Perform editorial checks
  • Administer document management and control of the content they are responsible for as per IMS Governance
  • Promote the importance of IMS as a “single source of truth” with Ecosystem Content Managers
  • Support the goal of reducing redundant and aged content across Ecosystem and Employee Center by working with Document/Content owners
  • Coordinate with Knowledge Management Team to ensure the correct Policies Procedures, and Instructions and Forms are associated with the FAQs and Knowledge articles
  • Escalate and analyze identified issues and concerns to the IMS Lead for timely resolution
  • Perform moderately complex tasks in compliance with service level agreement, process, policies, and procedures.
  • Maintain current processes and incorporate documentation updates as required
  • May support development of less experienced colleagues
  • Contribute to process improvement initiatives to streamline processes, improve customer experience, and increase productivity.

Minimum Requirements:

  • Bachelor’s degree and/or at least 4 years of relevant work experience
  • Proficiency in MS Office tools(Word/PowerPoint/Outlook/Excel/Visio) and Adobe Acrobat Pro DC

  • Excellent research skills
  • Experience in processes and procedures relevant in IMS, Technical writing or copy-editingandReporting and data analytics
  • Experience across core HR functions (e.g. Compensation, Benefits, Performance Management, etc.)
  • Must be willing to work night scheduleand 3 days onsite per week.

Preferred qualifications:

  • Experience using a Knowledge Management platform (Knowledge Base, ticketing, HTML, chatbot), preferably ServiceNow
  • Experience in providing, writing, or developing web contents using an array of web development platforms, mapping tools (MS Visio, Lucid Chart, or an equivalent), and methodologies
  • Knowledge of HR metrics and their applicability
  • Experience in the use of other HR Systems e.g. Workday other KM platforms and tools
  • Understanding of Process Mapping Tools and Methodology
  • Experience working in outsourcing, shared services, or similar model within similar function
