Medical Virtual Assistant – Virtual Assistant (Remote)

Permanent, Remote position. Virtual Rockstar is hiring Medical Virtual Assistants for physical therapy and rehabilitation clinics. Roles focus on scheduling, insurance verifications and authorizations, patient communications, EMR documentation, and general administrative support. Various postings specify locations (Idaho, Oregon, California, Philippines) and clinic specializations (physical therapy, sports medicine, pediatric therapy, rehabilitation networks).

Overview

Support clinic operations to ensure smooth day-to-day care delivery, timely patient care, and compliant administrative processes. Emphasis on empathy, clear communication, problem-solving, and collaboration with clinical and administrative teams.

Responsibilities
  • Scheduling & patient communication: schedule/confirm appointments, manage reschedules/cancellations, and coordinate telehealth if applicable.
  • Insurance verifications & authorizations: verify coverage, obtain/update pre-authorizations, liaise with providers, and maintain insurance details in EMR.
  • EMR / documentation: maintain accurate patient records and ensure HIPAA compliance; input insurance/authorization data.
  • Administrative support: generate reports, track KPIs/financials, assist with marketing/recruiting tasks, and support daily operations.
  • Communication: respond to inquiries via phone/email, provide empathetic and professional interactions with patients and families.
  • Tools & systems: EMR (Prompt/Empower/Ens or similar), Google Workspace, MS Excel/Sheets, VOIP, digital fax, CRM platforms, and other clinic-specific software.
Requirements
  • Prior experience in medical administration, scheduling, or insurance verification; physical therapy or pediatrics experience is a plus.
  • Strong written and spoken English; excellent communication and organizational skills.
  • Tech-savvy; able to learn new systems quickly and manage multiple tasks.
  • Ability to work remote, with alignment to clinic hours (e.g., Mountain or Pacific Time, depending on posting).
  • Professional, patient-focused, and proactive in problem-solving; able to maintain confidentiality.
