Arup is seeking a Manila-based Facilities Officer to coordinate office facilities and workplace operations, ensuring a safe, functional and well-maintained environment for the Manila office. You will work closely with landlords, contractors, service providers and internal stakeholders to keep services running smoothly.

The role emphasizes coordination over trades, with responsibility for procurement support, event coordination and daily office services, reporting to the Facilities and Office

The opportunity

The primary focus of this role is to coordinate office facilities and workplace operations for the Manila office, ensuring the environment is safe, functional, well maintained and responsive to business needs. This is a coordination-focused facilities role rather than a technical trades role, with responsibility for working closely with landlords, contractors, service providers and internal stakeholders.

  • Coordinate office maintenance, repairs, preventative maintenance schedules and minor workplace improvements to ensure the office remains safe, functional and well maintained.
  • Liaise with contractors and service providers, including supporting contractor health and safety requirements, risk assessments and compliance documentation.
  • Support day-to-day workplace services and office operations, including reception coverage, office requests, shared spaces, meeting rooms, supplies and operational support for the business.
  • Assist with facilities-related procurement, invoicing, vendor management and service delivery to ensure work is completed on time, to the required standard and in line with Arup expectations.
  • Work closely with the Facilities and Office Management team, including administration and reception colleagues, to support office events, member needs and a positive workplace experience.

Is this role right for you?
  • Previous experience as a Facilities Officer, Facilities Coordinator or in a similar facilities, office administration or property management role, with demonstrated ability to coordinate workplace operations.
  • Experience coordinating maintenance activities, contractors, vendors and service providers, including an understanding of preventative maintenance cycles for office equipment and systems.
  • Sound awareness of workplace health and safety requirements, particularly relating to contractor works, risk assessments, compliance documentation and office refurbishments.
  • Relevant tertiary qualification in Engineering, Facilities Management, Business Administration or a related field is preferred; however, significant practical facilities experience will also be considered.
  • Strong organisational, stakeholder engagement and problem-solving skills, with the ability to work independently, take ownership of office operations and collaborate across the Facilities and Office Management team.
  • This role is primarily office-based, with current expectations for attendance in the office most days and some flexibility, including a designated work-from-home day on Fridays.
