The role requires exemplary service, discretion, and the ability to manage trips from airport transfers to business appointments. Responsibilities include maintaining vehicle presentation, route planning, and coordinating with executive assistants to ensure seamless travel for business trips and events.
Provide safe, comfortable, and punctual transportation for executives and authorized passengers.
Transport the executive to business meetings, offices, conferences, restaurants, airports, hotels, private residences, events, and other destinations.
Arrive at pick-up locations ahead of schedule and be prepared before the passenger's departure time.
Monitor traffic and road conditions and select the safest and most efficient routes.
Use GPS and traffic applications to anticipate delays and identify alternative routes.
Adjust routes and schedules discreetly when circumstances change.
Assist passengers with doors, luggage, documents, and personal belongings when appropriate.
Remain available during meetings, appointments, and events when required.
Provide transportation for family members, clients, business associates, or other authorized guests when requested.
Maintain a courteous, respectful, and service-oriented attitude at all times.
Open and close vehicle doors for passengers when appropriate.
Maintain a comfortable vehicle environment, including appropriate temperature, cleanliness, and privacy.
Ensure the vehicle is clean, polished, odor-free, and professionally presented before every assignment.
Provide a smooth and comfortable driving experience.
Anticipate the executive's transportation needs without unnecessary interruptions.
Maintain appropriate professional boundaries and avoid intrusive conversation.
Remain discreet and composed regardless of the passenger's schedule or circumstances.
Operate the vehicle safely and responsibly at all times.
Follow all traffic laws, regulations, and safety requirements.
Practice advanced defensive-driving techniques.
Maintain a safe following distance and appropriate speed for road and weather conditions.
Avoid aggressive driving, unnecessary risks, sudden maneuvers, and distractions.
Never use a mobile phone while driving except through legally permitted hands-free systems when necessary.
Ensure all passengers use appropriate seat belts.
Conduct basic safety checks before operating the vehicle.
Report any accident, traffic incident, vehicle damage, or safety concern immediately.
Maintain knowledge of appropriate emergency procedures.
Confidentiality is a critical requirement of the position.
The Executive Driver may become aware of sensitive business and personal information through conversations, schedules, destinations, meetings, and interactions with executives and their associates.
The driver must:
Maintain complete confidentiality regarding the employer and passengers.
Never disclose private or business information to unauthorized persons.
Never discuss the executive's activities, meetings, travel plans, visitors, or personal affairs outside the workplace.
Never photograph, record, or post information about the executive or passengers without authorization.
Never share information about the employer on social media.
Exercise discretion when conversations take place inside the vehicle.
Maintain confidentiality even after employment ends.
Keep the assigned vehicle clean, polished, organized, and in excellent condition.
Conduct daily inspections before use.
Check tires, lights, brakes, fluid levels, fuel, battery condition, air conditioning, and other basic safety items.
Ensure the vehicle is regularly serviced and maintained according to manufacturer recommendations.
Monitor mileage and service schedules.
Coordinate routine servicing, inspections, repairs, cleaning, detailing, and other vehicle-related requirements as authorized.
Report mechanical problems or warning indicators immediately.
Keep records of fuel, maintenance, mileage, tolls, parking, and other transportation-related expenses when required.
Ensure emergency equipment and necessary vehicle documents are available.
Never allow unauthorized individuals to operate the executive's vehicle.
Provide airport transfers for executives, family members, and authorized guests.
Monitor flight schedules and adjust pick-up times for delays, cancellations, or early arrivals.
Arrive at the airport in sufficient time to accommodate passenger arrival procedures.
Assist with luggage when required.
Be familiar with airport terminals, arrival and departure areas, parking facilities, and appropriate pick-up locations.
Maintain communication with the passenger or designated representative regarding arrival and departure arrangements.
Support transportation arrangements for business trips and special events.
When requested, the Executive Driver may assist with transportation-related errands, including:
Delivering and collecting documents.
Picking up or delivering business materials.
Collecting parcels and other authorized items.
Purchasing or collecting items on behalf of the executive.
Transporting business associates or clients.
Collecting guests from hotels, airports, offices, or residences.
Supporting transportation requirements during corporate events.
Handling parking, tolls, and other routine transportation-related matters.
All errands must be performed professionally and with appropriate confidentiality.
Maintain an accurate understanding of the executive's daily itinerary.
Review transportation requirements in advance.
Coordinate with executive assistants, household staff, security personnel, or other authorized representatives as necessary.
Confirm destinations and schedules when instructions are unclear.
Remain flexible when meetings or appointments change unexpectedly.
Communicate delays or problems immediately and professionally.
Maintain a proactive approach to transportation planning.
Maintain a high level of awareness of the executive's surroundings.
Choose safe locations for passenger pick-up and drop-off whenever possible.
Avoid unnecessary exposure to traffic or unsafe areas.
Be alert to unusual or potentially concerning situations.
Follow any security instructions provided by the employer or authorized security personnel.
Coordinate with security personnel when required.
Never disclose the executive's location or schedule to unauthorized individuals.
