We are seeking an exceptional Executive Coordinator to provide comprehensive support directly to our CEO. Responsibilities:
  • Executive Support: Provide high-level administrative and strategic support to the CEO, managing their calendar and scheduling meetings.
  • Communication Hub: Act as a primary point of contact for internal and external stakeholders, screening and prioritizing communications (emails, calls, inquiries) and drafting correspondence on behalf of the CEO.
  • Meeting Management: Prepare agendas, presentations, and briefing materials for meetings. Attend meetings as needed, take comprehensive notes, and ensure timely follow-up on action items.
  • Project Coordination: Assist in the planning, execution, and monitoring of various projects, ensuring deadlines are met and deliverables are completed to a high standard. This may include light project management tasks, tracking progress, and communicating updates.
  • Information Management: Organize and maintain highly confidential files, documents, and records, ensuring easy retrieval and strict confidentiality.
  • Research & Analysis: Conduct research, compile data, and prepare reports, summaries, and presentations as required by the CEO.
  • Problem Solving: Proactively identify potential issues and devise solutions to streamline processes and improve efficiency.
  • Ad-Hoc Duties: Take on special projects and other administrative duties as assigned, demonstrating flexibility and a willingness to learn.

Qualifications:
  • Proven experience (2+ years preferred) as an Executive Assistant supporting senior-level executives, ideally in a fast-paced or high-growth company.
  • Demonstrated experience as a virtual assistant or a strong background in project management is highly desirable.
  • Exceptional organizational and time management skills, with the ability to prioritize effectively and manage multiple tasks simultaneously without compromising quality.
  • Excellent written and verbal communication skills, with a keen eye for detail and strong proofreading abilities.
  • High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with virtual collaboration tools (e.g., Google Workspace, Zoom, Slack, Notion).
  • Ability to maintain the highest level of confidentiality and exercise discretion in all matters.
  • Strong interpersonal skills with the ability to build rapport and communicate effectively with diverse personalities.
  • Proactive, resourceful, and able to work independently with minimal supervision.
  • Bachelor's degree preferred, but equivalent experience will be considered.
