As an Executive Assistant to the C-Suite, you will play a vital role in supporting the CEO and CFO in sales enablement, internal coordination, and strategic initiatives. This position is ideal for someone highly organized and proactive, with strong communication skills and a passion for supporting leadership at the highest level. Preferred but not required: a background in sales, operations, or executive support, and a desire to grow alongside a dynamic leadership team.

What you’ll do
Conduct research to identify potential leads and gather relevant information.
Assist with the scheduling of initial meetings and follow-up communications with prospects.
Provide support in the preparation of materials for networking events, summits, and client meetings.
Coordinate logistics and assist in the arrangement of events during the CEO and CFO's business trips.
Follow up with the sales team and other relevant internal teams on the progress of prospects, identifying areas where the CEO or CFO's involvement may be beneficial.
Manage and update CRM data related to prospect interactions (as needed).
Monitor and respond to LinkedIn messages, directing job applicants to the appropriate career page or POC.
Identify and flag LinkedIn messages that appear to be from potential new clients or strategic partners.
Attending key internal meetings that the CEO or CFO is unable to attend and providing concise and informative reports on key discussions and action items.
Proactively attending other internal meetings as directed and summarizing key takeaways, identifying potential issues, and highlighting areas where the CEO or CFO may need to intervene.
Assisting in the creation and coordination of the monthly organizational newsletter.
Providing support in the development and preparation of materials for town hall presentations.
Facilitating communication and follow-up on key initiatives and projects across different teams.
Assisting with general coordination tasks and administrative duties as required.
Collecting feedback from VPs and their teams on various initiatives and providing summarized reports to the CEO and CFO.
Supporting the preparation and follow-up for quarterly reviews with VPs and teams.
Assisting in the creation and chasing of updates for Founders' Forum/town hall meetings.
Conducting research and gathering necessary information for the CEO's travel.
Assisting in prioritizing actions and creating lists of clients and prospects to meet during trips.
Providing support in the planning and coordination of events or meetings during the CEO's travels.
Managing the CEO and CFO's calendar and scheduling appointments.
Preparing correspondence, presentations, and other documents as needed.
Handling confidential information with discretion.
Actively seeking opportunities to learn and grow alongside the C-Suite and the organization.
Developing a strong understanding of the organization's operations and strategic priorities.
Collaborating with the CEO and CFO on strategic initiatives and projects.
Providing support in the onboarding process of a future Chief Operating Officer (COO).
Serving as a key point of contact and coordinator within the Executive Team (CEO, COO, CFO, VPs).
What You Bring
Proven experience and strong understanding of lead generation, sales support, or as an Account Executive with responsibilities for organizational coordination.
Demonstrated ability to effectively manage multiple tasks and prioritize effectively in a fast-paced environment.
Excellent organizational and time-management skills, with a strong attention to detail.
Exceptional written and verbal communication skills.
Strong interpersonal skills and the ability to build rapport with individuals at all levels of the organization.
Proficiency in Google Suite (Docs, Sheets, Slides, Calendar, Gmail).
Experience with CRM software is a plus.
Ability to exercise discretion and maintain confidentiality.
A proactive and resourceful approach with a strong sense of ownership.
A willingness to learn and adapt to evolving responsibilities.
Amenable to work at least 2 days a week on-site, with flexibility to report either our Mandaluyong or Makati City office
