Job Description

  • Acts as liaison between executives and other department heads and managers
  • Manage the executive's calendar, including scheduling appointments, meetings, and travel arrangements
  • Prioritize and manage incoming emails and phone calls, responding to routine inquiries and directing complex matters to the executive
  • Prepare meeting agendas, gather necessary materials, and take detailed notes during meetings
  • Draft and proofread correspondence, presentations, and other documents
  • Manage travel logistics, including booking flights, hotels, and ground transportation
  • Organize and maintain filing systems, receipts for the executive and team
  • Anticipate the executive's needs and proactively provide solutions
  • Attends to whatever the company owners' household needs, runs errands and manage household tasks
  • Perform other administrative tasks and personal assistance as needed

The Successful Applicant

  • Has relevant experience as an Executive Assistant or related role
  • Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously
  • Excellent communication and interpersonal skills, with the ability to build rapport with people at all levels
  • Strong attention to detail and a proactive approach
  • Proficient in Google Suite and other scheduling tools
  • Ability to maintain confidentiality and discretion
  • Detail-oriented and possess a strong work ethic
  • Ability to work independently and as part of a team
