Position Type: Full-time

Location: Philippines (Remote)

Schedule: Monday-Friday (possible work on Sat), with required overlap from 9AM-2AM and 5AM-6AM West-African Time

About The Role

As an Executive Assistant, you will provide high-level administrative and operational support primarily to the CEO, ensuring her day-to-day activities run smoothly and efficiently. You will be responsible for managing complex calendars, coordinating travel, organizing communication, and supporting meetings and financial documentation. The ideal candidate is detail-oriented, proactive, and experienced in fast-paced professional environments—preferably in the investment or legal sectors.

Responsibilities

  • Calendar Management: Manage and coordinate schedules for the CEO, ensuring optimal time use and preventing conflicts.
  • Inbox Management: Organize and triage email correspondence; draft and respond to emails as appropriate.
  • Travel Coordination: Plan and arrange travel, including flights, accommodations, ground transportation, and detailed itineraries.
  • Meeting Support: Prepare agendas and materials, attend meetings, take minutes, and track follow-ups.
  • Financial Administration: Manage invoices, process payments, and ensure proper documentation of financial records.
  • Administrative Support: Prepare reports and documents, handle expense reimbursements, and maintain organized digital and physical records, and ensure the accurate completion and submission of required information.
  • Task Prioritization: Maintain oversight of multiple responsibilities and deadlines with minimal supervision.
  • Confidentiality: Handle sensitive information with discretion and professionalism.
  • Research and Reports: Conduct research on various business and investment topics and compile findings into reports or presentations.

Competencies And Qualifications

  • 2–5 years experience in an Executive Assistant, Administrative Assistant, or similar support role.
  • Proficiency with MS Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational, communication, and time management skills.
  • High attention to detail and ability to manage competing priorities.
  • Experience working in fast-paced environments with high confidentiality standards.
  • Familiarity with financial and legal documentation is a plus.
  • Experience working with companies in the investment industry.
  • Previous experience supporting teams or executives in Nigeria or with companies based there.
  • Understanding of legal jurisdictions and related documentation processes.
  • Experience with project management and collaboration tools such as Notion, ClickUp, or similar.
