We’re looking for an experienced, efficient and well-organized individual with integrity and a heart for service, to provide administrative, executive and personal support to our 3 founders and manage our office in Paseo de Sta Rosa.

Responsibilities:

  • Providing effective project management support to our Chairman, President, and Creative Director that includes, but not limited to - canvassing and costing out office equipment, materials and services (e.g., staff events and consolidated supplier gift options).
  • Routing and prioritization of transmittals
  • Booking and coordinating meetings, both internal and external; managing the calendar to take into consideration logistical requirements.
  • Support office-wide initiatives such as events, staff meetings, and other organizational activities, providing logistical and operational support as needed. Preparing for meetings, including screening documents and enhancing presentations when appropriate
  • Traditional administrative support including taking minutes, arranging travel, etc.
  • Overseeing and managing the day-to-day operations of the office in Paseo de Sta. Rosa, ensuring a well-organized, efficient, and safe workplace. This includes managing office supplies, equipment, and services, as well as addressing maintenance and operational needs.
  • Coordinate with vendors and service providers for office repairs, cleaning, and utilities management to maintain a clean and safe work environment.
  • Plan and manage office layout and seating arrangements to optimize workspace efficiency and accommodate team growth.
  • Collaborate with IT for the maintenance and setup of office equipment and ensure all technology resources are operational.
  • Prepare and manage the office operations budget, ensuring cost-effective solutions for office needs and supplies.
  • Implement and maintain workplace safety policies and procedures, including acting as the designated Safety Officer, conducting regular safety drills, and ensuring compliance with local regulations.
  • Support the HR Representative in performing general HR and admin functions including, but not limited to, cascade of company announcements/information, maintaining an updated company directory, implementation of safety and HR policies, conduct of employee interviews and basic orientation

Qualifications:

  • At least 5 years of work experience in similar capacity with verifiable references
  • Quick-witted, flexible and experienced in dealing with people of all levels
  • Clearly communicates in excellent English
  • Must have experience working with expats/non-Filipinos
  • Possesses a highly developed sense of initiative to anticipate needs
  • Highly reliable
  • Adept at problem-solving
  • Team-oriented and with winsome interpersonal skills
  • Experience with volunteer work or working in an NGO is a plus
  • Trustworthy with matters of high confidentiality
  • Strongly believes in the company’s advocacy and goals
