Job Description

As an Executive Assistant and HR Administrator, you'll provide critical support to a dynamic Director while helping clients streamline their HR systems and processes. Your role spans executive support, HR administration, and performance tracking, offering the best of both strategy and operations.

Shift: Monday to Friday, 8:30 AM to 5:30 PM (AEST)

The Qualifications We Seek

Prior Experience:

  • Have at least 1 year of experience in an Executive Assistant, Office Manager, or HR Admin role
  • Bring prior experience from a consultancy, professional services, or fast-paced small business environment
  • Possess exposure to HR platforms such as Employment Hero, DocTrack, or ATS (preferred but not required)

Qualifications:

  • Demonstrate strong proficiency in Microsoft Office Suite and SharePoint
  • Format professional documents using Canva with attention to detail
  • Show familiarity with Employment Hero or the ability to learn new systems quickly
  • Use LinkedIn and basic social media scheduling tools effectively
  • Exhibit high-level written communication skills for editing and preparing HR documents

Your Daily Tasks

Executive Support

  • Manage the Director's diary and calendar
  • Coordinate meetings, coaching sessions, and workshops
  • Format and edit documents using Word, Excel, PowerPoint, and Canva
  • Organize and maintain SharePoint file systems
  • Schedule and post content on LinkedIn and other social media platforms
  • Provide ad hoc personal and professional support to the Director

HR Administration for Clients

  • Prepare HR documents and perform administrative tasks for clients
  • Maintain and update employment contracts and related documentation
  • Oversee probation review and exit interview processes
  • Review and update HR policies to ensure clarity and relevance
  • Improve efficiency and expand usage of Employment Hero

Performance Measurement

  • Complete diary, document, and scheduling tasks accurately and on time
  • Maintain well-organized HR documentation and systems
  • Demonstrate progress on HR process improvements and internal efficiencies
  • Receive positive feedback from the Director and clients
