Job Title: Executive Assistant

Location: Clark, Pampanga, Cebu City, Tarlac City

Shift: 9:00PM - 6:00AM (Monday-Friday)

ABOUT THE ROLE:

The Executive Assistant will be responsible for day-to-day tasks such as intake of new cases, managing schedules, coordinating meetings, handling correspondence, client relationship management, labor market research, job posting research, and assisting with general office duties.

ABOUT YOU:

Ability to manage up to 25 projects/cases per month from start to completion, including:

  • New case intake
  • Send out invoices and Fee Agreements and follow up to assure completion
  • Set up Google Folder for each case
  • Set up each case in Trello
  • Send e-mails to attorneys, paralegals, clients, and people we are evaluating with efficiency and accuracy
  • Coordinate schedules and meetings
  • Coordinate Partners' hearing/testimony schedules and payments
  • Adhere to strict deadlines

Strong organizational and time management skills

Proficiency in Google Workspace and Microsoft Word

Excellent communication and interpersonal abilities

Ability to prioritize tasks and work efficiently

Attention to detail and accuracy

Experience with data entry and office management procedures

Knowledge of basic accounting principles

High school diploma or equivalent required

Highly preferred, but not required:

  • Experience with HubSpot and Trello
  • Experience with Calendly
  • Experience with Quickbooks Online
  • Experience using Chat GPT
  • Background as a Legal Assistant and/or Paralegal
  • Bachelor's degree
