A leading company is seeking an Executive Assistant to the Chief Strategic Officer (CSO) to provide high-level administrative support. The role involves managing the CSO's calendar, handling confidential information, coordinating strategic initiatives, and liaising with various stakeholders. The ideal candidate will have a Bachelor's degree and 3-5 years of experience supporting senior executives, demonstrating strong organizational, multitasking, and communication skills.
The Executive Assistant to the Chief Strategic Officer (CSO) provides high-level administrative support in executing strategic initiatives and managing day-to-day operations. This role involves managing the CSO’s calendar, preparing reports, handling confidential information, and liaising with internal and external stakeholders. The Executive Assistant will play a key role in ensuring the CSO's time and priorities are effectively managed while contributing to various strategic projects.
Calendar and Time Management: Organize and manage the CSO's calendar, ensuring all meetings, appointments, and travel arrangements are efficiently scheduled and prioritized. Provide timely reminders and updates.
Communication Management: Serve as the first point of contact for the CSO, managing incoming and outgoing communications, including emails, phone calls, and correspondence. Draft and edit documents as necessary.
Strategic Project Support: Assist the CSO with planning and monitoring key strategic projects. Follow up with department heads on tasks and milestones, and provide status updates to ensure alignment with goals.
Meeting Coordination and Preparation: Prepare materials for meetings, including agendas, presentations, and reports. Take minutes during key strategic meetings, track action items, and ensure follow-through on decisions made.
Travel and Expense Management: Arrange all travel-related logistics for the CSO, including transportation, accommodation, and itineraries for both domestic and international trips. Process expense reports and ensure adherence to company policy.
Stakeholder Liaison: Act as a primary contact point for both internal departments and external partners, ensuring timely and effective communication. Handle requests and inquiries with professionalism and discretion.
Confidentiality and Data Security: Manage sensitive information related to strategic initiatives, proprietary data, and personnel matters with the highest level of confidentiality and discretion.
Special Projects: Support the CSO with various ad-hoc projects that align with the company’s long-term strategies, helping coordinate between teams and ensuring deadlines are met.
Education: Bachelor’s degree in Business Administration, Management, or related field preferred.
Experience: Minimum of 3-5 years of experience as an Executive Assistant, preferably with experience supporting senior executives in strategic roles or corporate planning.
Skills and Competencies:
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Project management skills and ability to track and follow up on multiple initiatives.
High degree of professionalism, confidentiality, and discretion.
Ability to work independently and proactively manage time effectively.
Other Requirements:
Willingness to work outside regular hours when necessary.
Ability to travel for work-related needs as required.
Work Environment: The Executive Assistant may require travel and occasional work outside normal office hours to support the CSO's needs.
