Position Overview

RecruitGo is in search of an Estate Planning Paralegal based in the Philippines.

Aside from your established skills and expertise, we are also looking for someone who has excellent attention to detail, strong writing skills, good communication, is a self-starter and able to work independently, and knows which tasks to prioritize.

Responsibilities
  • Responsible for creating electronic client files and contacts/matters in Actionstep
  • Responsible for drafting and sending Intro Emails to clients, and assisting as requested with preparation for drafting of estate planning documents, including ancillary documents, Wills, Trusts, deeds, entity transfer documents, Advanced Planning documents
  • Provide work support to other members of the firm
  • Some email communication with clients may be required: verifying spelling of names, obtaining missing contact information, verifying properties owned by client (obtaining Deeds for real estate property or Certificate of Formation for entities)
  • Review drafted estate planning documents for accuracy
  • Communicate effectively with other paralegals, clients, third parties (e.g. accountants, insurance brokers), attorneys, and support staff
  • Tracking and updating the status of drafted documents via Smartsheets, and updating information in the firm’s client management database (Actionstep)
  • Monitor the progress of assignments and bring conflicts to the attention of the responsible attorney
  • Assure efficient and effective use of estate planning software. Identify training needs and make the necessary arrangements. Identify system problems and work with the System Administrator to find solutions
  • Utilize computers and appropriate software to perform tasks in an efficient manner and according to the company’s best practices
  • Participate in training programs to learn and incorporate new computer skills and operational methods to meet the prevailing company’s best practices as required for the position
  • Exercise careful use of equipment and software and be wary of all cybersecurity threats that may arise
  • Review the upcoming calendar to plan ahead for deadlines
  • Audit signed documents for accuracy, and communicate any errors to the proper notary
  • Send text reminders to clients using firm’s software
Qualifications

Must-Haves:

  • Excellent attention to detail
  • Prior experience drafting and proofreading legal documents and use of drafting templates is essential
  • Expert knowledge of English grammar and punctuation
  • Experience using Microsoft Word
  • Strong writing skills and good communication; Will use Microsoft Outlook email/Microsoft Teams/Zoom to communicate with drafting team; Familiarity with American culture and customs
  • Self-starter and able to work independently, know which tasks to prioritize, and problem solve
  • Must have successfully graduated from law school
