Are you highly organized, detail-oriented, and passionate about keeping important records accurate and secure? As a Documentation Assistant, you will play a key role in managing and safeguarding collateral and credit-related documents while ensuring that records are complete, accessible, and properly maintained. This is an excellent opportunity to build your experience in documentation management, records administration, and banking operations.
What You Will Be Doing
- Maintain and safeguard collateral and security documents within the custodian vault.
- Process incoming, outgoing, and borrowed documents while ensuring compliance with established procedures.
- Prepare and monitor documentation forms, logs, and tracking records.
- Update and maintain document databases to ensure accurate inventory and monitoring.
- Scan, encode, and verify documents within the document management system to support digitization efforts.
- Coordinate with branches, lending units, and other departments regarding document requests and releases.
- Assist clients and internal stakeholders with document-related inquiries.
- Support audit reviews, regulatory examinations, and records management activities.
- Handle administrative and documentation-related projects assigned by management.

- Documents are accurately recorded, filed, and accounted for at all times.
- Requests for document releases, certifications, and borrowing are processed within agreed turnaround times.
- Databases and monitoring records remain complete, organized, and up to date.
- Internal and external stakeholders receive timely and reliable support.
- Digital records are maintained with a high degree of accuracy and quality.
- Audit and compliance requirements are supported efficiently and effectively.
Qualifications
- Bachelor's degree in Business or a related field.
- Strong attention to detail and organizational skills.
- Proficiency in Microsoft Office applications, particularly Excel and Word.
- Ability to manage records, files, and documentation accurately.
