A logistics company is seeking a document control specialist to manage ISO compliance and document integrity. This role is crucial in maintaining accurate and secure documentation while supporting quality assurance efforts across departments. Ideal candidates should have a bachelor's degree and relevant experience in logistics or quality management.
JOB PURPOSE
To be responsible for managing and maintaining accurate, secure, and up-to-date documentation in alignment with ISO standards and quality assurance requirements. This role plays a critical part in supporting compliance efforts, ensuring data integrity, and facilitating seamless coordination across departments.
JOB RESPONSIBILITIES
Document Management:
· Establish, implement, and maintain document control procedures aligned with ISO standards.
· Create, review, distribute, and archive logistics documents such as shipment records, customs documentation, inventory reports, and operational procedures.
· Ensure all documents are accurate, complete, and up-to-date.
ISO Compliance & Quality Assurance:
· Support the companies to relevant ISO standards compliance efforts.
· Maintain documentation related to ISO procedures, policies, and audits.
· Assist in internal and external ISO audits by providing required documentation and follow-up on non-conformities.
Record Keeping & Data Integrity:
Ensure secure storage of physical and electronic documents, with proper version control.
Manage document retrieval requests and maintain confidentiality of sensitive information.
Conduct regular reviews to ensure data accuracy and integrity.
Coordination & Communication:
· Liaise with various departments (logistics, customs, procurement, etc.) to gather and disseminate required documentation.
· Coordinate with external partners and regulatory bodies as needed.
Continual Improvement:
· Identify opportunities to improve document control processes.
· Implement best practices for document management and ISO compliance.
SKILLS
· Knowledge of ISO 9001:2015 standards
· Proficiency in MS Office (Word, Excel, Outlook)
· Attention to detail and accuracy
· Records management, version control and audit trail maintenance
QUALIFICATIONS
· Bachelor’s degree in Business Administration, Office Management, Logistics, or related field
· At least 1–2 years of experience in document control or quality assurance (preferably in logistics or cold storage)
· Familiarity with data confidentiality and version control practices
· A resident of Binan, Laguna or nearby areas
