Overview

We are seeking a highly organized, energetic, and proactive CXO Coordinator to support driving operational excellence for our regional CXO teams. This role is critical to our mission to streamline processes, improve efficiency, and ensure the seamless execution of key projects and day-to-day tasks. The Operations coordinator role will report directly to the Regional Director of Customer Service. This role will be highly impactful in delivering project management, documentation, frameworks, and general organizational support on behalf of the CXO team for the APAC region. You will be expected to initiate, design, and execute independently whilst remaining highly aligned with your direct colleagues.

Responsibilities
  • Project and Workflow Coordination:
    • Project administration: Maintain and update critical systems and overviews, particularly Airtable, to ensure data accuracy and support operational workflows.
    • Project coordination: Coordinate project delivery and serve as a central hub for project-related communications, ensuring stakeholders are aligned and resources are effectively utilized. Liaise with stakeholders regarding project requests/requirements and resources.
    • Project prioritization: Help the team prioritize CXO projects and assign ownership for project or analysis requests where required.
    • Project execution: Act as a central point of support for regional CXO projects and CEMs to drive operational excellence and process improvement. Marshal resources and coordinate delivery to ensure smooth execution, including hands-on work on certain projects when needed (e.g., larger cross-functional initiatives such as fraud prevention).
  • Documentation & Frameworks:
    • Documentation: Create high-quality documentation outlining processes, projects, or briefings; ensure all project and operational documentation is accurate and up-to-date.
    • Presentations: Support the creation of high-quality slide decks for presentations and documentation, and provide general administrative support to the regional team.
    • Administration: Support CXO responsibilities through coordinating contractual reviews and negotiations with internal sourcing or legal teams, and managing purchase orders and invoices.
    • Frameworks: Support creation of new governance or quality frameworks for the CXO team.
  • Organizational Support:
    • Internal events: Assist in coordinating and managing planning and logistics for team off-sites and partner summits, including agenda input and action item follow-ups.
    • External events: Support coordination of external round tables, performance reviews, internal team meetings, coaching/calibration sessions, etc., including agenda input and action items follow-up.
    • Resource coordination: Support coordination of specialized external resources (such as BPO XAs).
    • Requests: Support delivering on requests from internal teams (e.g., local language translations or agent-level inputs).
    • Reports/analysis: Support or directly deliver high-level analysis or data collection (regional trends, performance, operational anomalies) and coordinate follow-up actions, escalating findings as needed.
  • Skills And Qualifications:
    • Project Management: Ability to define scope, milestones, timelines, and resource needs; strong task prioritization and progress tracking. Project Management certification is preferred.
    • Project management tools: Experience with tools like Airtable or Asana.
    • Data management tools: Experience with Tableau or other data visualization/analysis tools is strongly preferred.
    • Operational / Customer Service experience: Experience in large-scale, multilingual, international customer service environments within a multinational organization.
    • Operational Mindset: Focus on CS, efficiency, process improvement, and solving operational challenges; ability to identify bottlenecks and implement solutions.
    • Exceptional Organizational Skills: Meticulous attention to detail and ability to manage multiple responsibilities and data sets; experience with Airtable is essential.
    • Communication and Influence: Excellent written and verbal communication; ability to create clear reports and presentations and influence outcomes with data.
    • Analytical Aptitude: Ability to work in a data-driven environment, analyze data and trends, and translate insights into actionable recommendations.
    • Adaptability and Initiative: Proactive, adaptable, and able to work in a fast-paced environment with minimal supervision.
  • Suggested Candidate Background:
    • Experience: 4-5+ years in operations, business analysis, or project management/coordination, preferably in fast-paced, customer-facing, or technology-driven environments.
    • Technical Skills: Proficiency with Google Workspace (Docs, Sheets, Slides) or similar, and mastery of project and data management platforms; Airtable experience is a plus.
