A leading company in logistics is seeking a Document Management Specialist to manage contracts and business permits across multiple locations. This role ensures compliance and efficient document handling while maintaining communication with government agencies. The ideal candidate has a background in Business Administration and relevant experience in administrative support and compliance.
Key Responsibilities:
Document Management
Maintain a comprehensive database of all company contracts and business licenses.
Ensure proper filing, storage, and retrieval of important documents.
Track expiration dates and create renewal calendars for all critical documents
Business Permit Management
Coordinate with external agents for Business Permit applications and renewals for 10+ locations
Ensure timely submission of requirements to avoid penalties or business disruptions
Maintain updated records of all permits and licenses
Contract Administration
Serve as the contract management interface for all departments
Monitor contract expiration dates and send timely reminders to relevant departments
Coordinate with departments for contract renewals and updates
Maintain contract filing system and ensure easy accessibility
Compliance Monitoring
Track compliance requirements and deadlines
Prepare regular reports on document status and upcoming renewals
Liaise with government agencies and external service providers
Qualifications
Bachelor's degree in Business Administration, Legal Management, Public Administration, or related field
3-5 years of experience in document management, administrative support, or compliance-related roles
Experience with Philippine business permit processes and requirements is highly preferred
Experience working with LGUs (Local Government Units) is an advantage
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint)
Excellent written and verbal communication skills in English
Proficiency in Filipino for dealing with government agencies
