Job summary

SMEC is seeking a Contract Administrator with a background in civil engineering or quantity surveying to support contract administration, cost control, and procurement on coastal, marine, or infrastructure projects.

You will coordinate with project engineers, planners, and the legal team, manage variation orders and EOT, ensure compliance, and contribute to risk management in a fast-paced multidisciplinary environment.

Qualifications

  • Bachelor's degree in Civil Engineering, Quantity Surveying, Construction Management, or related field.
  • 3–5 years' experience in contract administration, preferably coastal, marine, or infrastructure projects.
  • Familiarity with FIDIC or similar standard forms of contract.
  • Strong understanding of project cost control, variation management, and basic contract law.
  • Proficient in Microsoft Office Suite; experience with ERP/contract management systems is an advantage.
  • Excellent communication, negotiation, and organizational skills.
  • Ability to work in a fast-paced, multidisciplinary team environment.

Responsibilities

  • Contract Administration: Assist in preparation, review, and administration of contracts and maintain documentation.
  • Cost & Commercial Support: Assist in interim payments, valuations, final accounts, cost control, and variation orders.
  • Procurement and Subcontracts: Support procurement, review bids, administer subcontracts, and close-outs.
  • Coordination and Communication: Liaise with engineers, planners, legal, clients, consultants, and subcontractors regarding contract matters.
  • Risk and Compliance: Identify risks, ensure regulatory compliance, and support audits.

Job description

Key Responsibilities
  1. Contract Administration Assist in the preparation, review, and administration of engineering and construction contracts (FIDIC, NEC, bespoke). Ensure all contractual requirements are implemented in accordance with company and project procedures. Maintain contract documentation, registers, variation logs, and correspondence records.
  2. Cost & Commercial Support Assist in preparing interim payment applications, valuations, and final accounts. Monitor contract budgets, track expenditures, and support cost control processes. Assist in the preparation and evaluation of variation orders, claims, and extensions of time (EOT).
  3. Procurement and Subcontracts Support procurement activities, including the preparation of tender documentation for subcontractors and suppliers. Review and evaluate bids and participate in negotiations when required. Administer subcontracts, including scope changes, payments, and close-outs.
  4. Coordination and Communication Liaise with project engineers, planners, quantity surveyors, and the legal team on contract-related matters. Coordinate with clients, consultants, and subcontractors regarding contract compliance and change management. Support progress reporting and attend commercial/contractual meetings.
  5. Risk and Compliance Identify and elevate contractual risks, and assist in implementing mitigation strategies. Ensure compliance with statutory regulations, company policies, and contract terms. Assist in audits and ensure proper documentation for internal and external reviews.

Qualifications and Skills Bachelor's Degree in Civil Engineering, Quantity Surveying, Construction Management, or a related field. At least 3–5 years' experience in contract administration, preferably in coastal, marine, or infrastructure projects. Familiarity with FIDIC or similar standard forms of contract. Strong understanding of project cost control, variation management, and basic contract law. Proficient in Microsoft Office Suite; experience with ERP/contract management systems is an advantage. Excellent communication, negotiation, and organizational skills. Ability to work in a fast-paced, multidisciplinary team environment.
