The Commercial Assistant supports the commercial and contracts team in managing project documentation, contracts, procurement, quarry material deliveries, and financial records. The role ensures that commercial and logistical activities are properly coordinated, compliant with company policies, and aligned with engineering project requirements.
Key Responsibilities
- Assist in preparing, reviewing, and maintaining contracts, subcontracts, and supplier agreements.
- Support tendering and bidding processes, including document preparation and supplier coordination.
- Monitor quarry material deliveries (e.g., aggregates, sand, gravel) to ensure accuracy of quantities, delivery schedules, and compliance with purchase orders.
- Maintain delivery logs and coordinate with suppliers, transporters, and site engineers to confirm receipt of materials.
- Monitor project costs, material consumption, variations, and payment schedules against approved budgets.
- Maintain accurate records of purchase orders, invoices, quarry delivery receipts, and commercial correspondence.
- Assist with preparing reports on project financial status, material usage, and risks.
- Coordinate with engineering, procurement, and finance teams to track project deliverables.
- Provide administrative support, including drafting letters, maintaining files, and updating commercial databases.
- Ensure compliance with company policies, legal requirements, and contract terms.
Qualifications & Skills
- Bachelor’s degree in Business Administration, Engineering, Logistics, or related field.
- Experience in commercial, procurement, or logistics support within an engineering or construction company is an advantage.
- Knowledge of supply chain, quarry deliveries, and material monitoring preferred.
- Strong organizational, documentation, and reporting skills.
- Proficiency in MS Office; ERP/project management/logistics system knowledge is a plus.
- Excellent communication and coordination skills.
- Detail-oriented with the ability to work under pressure and meet deadlines.
