Job Overview

We’re looking for a strategic and tech-savvy Business Assistant to optimize workflows, streamline business processes, and implement advanced solutions that maximize efficiency. You’ll take ownership of system management, process improvements, and staff training to ensure smooth operations across the business.

Responsibilities
  • System Optimization: Review, enhance, and automate workflows using ServiceM8 to improve efficiency and reduce administrative overhead.

  • Process Implementation: Design and enforce new SOPs for lead-to-job conversion, scheduling, inventory tracking, and invoicing.

  • Reporting & Analytics: Develop dashboards and reports to monitor job profitability, technician performance, and operational KPIs.

  • Administrative Support: Maintain technical documentation, training materials, and ensure compliance with standardized processes.

  • Financial Integration: Support seamless data flow between ServiceM8 and XERO for accurate invoicing, payments, and cost tracking.

  • Staff Training: Coach and onboard team members to use optimized systems effectively.
