Responsibilities

• Monitor Accounts Receivable and resolve billing discrepancies with third-party payers.
• Track active authorizations against scheduled shifts to prevent unbilled care.
• Execute daily schedule and EVV verifications in AxisCare for real-time accuracy.
• Audit caregiver shift hours, mileage, and pay rates in AxisCare prior to payroll.
• Generate payroll batches from AxisCare and upload into Viventium.
• Make necessary modifications in Viventium and review the payroll preview.
• Collaborate with Scheduler to clear missing punches, timecards, and authorizations.

JOB OVERVIEW:

The Billing & Financial Operations Specialist is responsible for executing day-to-day revenue cycle functions, managing accounts receivable, and maintaining financial accuracy across multiple payer streams.

This role carries an explicit mandate to act as an operational bridge across finance and compliance.

JOB ROLE & RESPONSIBILITIES:

Financial Operations & Revenue Cycle (Day-to-Day Core)

• Manage full-cycle billing, invoice generation, and claim tracking across multiple accounts (VA, Private Pay, Montco, VetAssist, and Pocket RN).
• Process and reconcile VA and Montco remittance advice reports against open invoices, ensuring paid, short-paid, or denied claims are resolved promptly.
• Monitor Accounts Receivable (AR), track outstanding aging claims (>30 days), and resolve billing discrepancies with third-party payers.
• Track active authorizations against scheduled shifts to prevent unbilled care or cap overages.
• Execute daily schedule and EVV verifications in AxisCare to ensure real-time accuracy, compliance, and operational efficiency, cross-checking clock-ins/outs, bill rates, and shift differentials prior to billing locks.
• Audit caregiver shift hours, mileage, intervisit mileage, and pay rates within AxisCare prior to payroll generation.
• Generate payroll batches from verified AxisCare visits and upload them into Viventium for processing.
• Perform any necessary modifications in Viventium, audit caregiver shift hours and differentials, and review the Viventium preview for final payroll approval.
• Collaborate directly with Scheduler to clear missing punches, timecards, and authorizations

MEASURABLE OUTCOMES & PERFORMANCE BENCHMARKS

• Billing Accuracy: Maintain an error rate of < 1.0% on generated invoices, authorization allocations, and billing entries.
• Payroll Precision: Achieve an accuracy rate of < 0.5% on audited payroll timecards and differential calculations.
• VA and Montco Remittance Reconciliation: Reconcile VA remittance advice reports within 48 hours of receipt.

QUALIFICATION & CORE COMPETENCIES:

• Experience: 2+ years of experience in medical/home care billing, financial reconciliation, or schedule auditing.
• Software Proficiency: Hands-on experience with electronic visit verification (EVV) / electronic health record (EHR) software (such as AxisCare) and strong proficiency in Excel/Google Sheets (data filtering, formulas, and reconciliation models).
• Culture & Communication: Strong communication skills, with alignment to an EOS-driven accountability culture.
• Attention to Detail: Exceptional focus with a proven track record of maintaining high accuracy under tight weekly deadlines.
