Job description

JOB SUMMARY

The Finishing Assistant Manager provides on-ground and administrative support to the Finishing Lead in the execution, monitoring, and documentation of all finishing-related works for residential, parking, and common areas. This role ensures timely coordination, verification, and reporting of tasks needed to meet turnover, safety, and quality requirements of the project.

Key Responsibilities:

1. Support in Completion Oversight

Assist in tracking completion of unit deliverables for residential and parking areas.

Support the monitoring of final works in common areas such as lobbies, garbage rooms, hallways, and utility/service rooms.

Help inspect and document installation and functionality of Building Life Safety (BLS) systems, including: o Fire exits and egress paths o Fire detection and alarm systems o Smoke detectors, sprinklers o Emergency lights, exit signs o Fire-rated doors and fire hose cabinets o CCTV, access control, and public address systems

2. Turnover Documentation Support • Assist in compiling turnover documentation in line with as-built plans.

Support the preparation and organization of handover materials to the Condominium Corporation and internal stakeholders.

3. Coordination with Contractors and Internal Teams

Coordinate with assigned contractors, subcontractors, and support the Finishing Lead in ensuring work aligns with approved scope.

Participate in site walkthroughs and punch listing with internal departments and consultants.

Assist in monitoring resolution of finishing-related issues and punch list closures.

4. Progress Monitoring & Cost Documentation

Collect and organize data related to work accomplishments and billing documentation.

Help verify progress reports, scope changes, and support cost control checks by maintaining accurate site records.

5. Reporting & Communication

Submit daily and weekly updates to the Finishing Lead regarding area status, contractor performance, and identified concerns.

Document issues, delays, or constraints that may affect timeline and quality delivery.

6. Project Support Tasks

Provide general assistance to the Finishing Lead in managing schedules, material verification, and manpower coordination.

Assist in the implementation of safety, housekeeping, and quality protocols on-site.

7. Other Duties

Perform additional tasks or assignments as instructed by the Finishing Lead or other senior project personnel to ensure project goals are met

JOB QUALIFICATIONS AND SKILLS REQUIRED

Education:

  • Must be a graduate of Engineering or Architecture course or its equivalent degree from a reputable college or university, or a related field. Experience:
  • Preferably with at least 3 years of extensive work experience in property management / construction, or warranty management, with at least 1 year in a supervisory role and/or related to construction engineering from a reputable property developer, real estate or contractor.

Skills:

  • Strong problem-solving and organizational skills.
  • Excellent communication and interpersonal skills.
  • Knowledge of construction quality standards and warranty protocols.
  • Ability to handle multiple tasks and meet deadlines.
  • With excellent leadership, communication (written, oral and presentation/facilitation) and interpersonal skills.
  • Self-motivated, decisive, and with the ability to adapt to change and competing demands. • Intermediate level of proficiency with MS Project, Excel, PowerPoint and SharePoint would be an advantage and with experience in presenting to stakeholders.
  • With experience in working both independently and in a team-oriented, collaborative environment.
  • Flexible, and with proven ability to conform to shifting priorities, demands and timelines through analytical and problem-solving capabilities.
  • Must be able to learn, understand and apply new technologies.
  • Must be able to support diverse and inclusive work environment.

  • Must possess strong planning, organizing, and controlling skills, and with effective project management and systems development knowhow and skills.
