Job summary

ConnectOS in Metro Manila is seeking a Virtual Assistant to manage front desk operations, provide administrative support, and engage clients. The role combines high-level customer care with efficiency across daily activities.

You will be the first point of contact, handling calls and inquiries, coordinating referrals and intake for CHSP/NDIS, and contributing to marketing and community outreach while ensuring data integrity.

Qualifications

  • Certificate III in Administration or equivalent (desirable).
  • Excellent communication and interpersonal skills.
  • Experience in healthcare/NDIS/aged care/community services.
  • Right to work in Australia; Police check, Working with Children Check, NDIS Worker Screening Check; COVID-19 vaccination (2 doses).

Responsibilities

  • Ensure a virtual reception experience that is organised, professional, and welcoming.
  • Handle calls, emails, and inquiries promptly and courteously.
  • Coordinate CHSP referrals, intake coordination, and NDIS-related client support.
  • Support rostering with schedule updates and staff availability.

Position Summary

The Virtual Assistant - Philippines plays a pivotal role in ensuring seamless front desk operations, administrative support, and client engagement. Front Desk Operations
  • Ensure a virtual reception experience that is organised, professional, and welcoming.

Client Relationship & Engagement
  • Act as the primary contact for clients, families, caregivers, and external stakeholders.
  • Provide tailored support and guidance to clients throughout their engagement.
  • Respond to inquiries regarding services, eligibility, and approvals for care packages.
  • Address and resolve complex client concerns, ensuring follow-up communication.
  • Promote and inform clients of upcoming events and services.
Process Improvements & Operations Support
  • Identify and implement improvements in administrative and reception procedures.
  • Collaborate with leadership to streamline virtual front desk and client workflows.
  • Develop and document standard operating procedures to enhance efficiency.
Administrative & Marketing Support
  • Oversee virtual administrative functions including data entry, record keeping, and document management.
  • Support CHSP referrals, intake coordination, and NDIS-related client support.
  • Maintain accurate consumer records and ensure data integrity.
  • Assist with marketing initiatives, community engagement, and promotional efforts targeting CALD communities.
  • Collect client feedback to inform service improvement and innovation.
Cross-Functional Collaboration
  • Liaise with internal departments to ensure coordinated service delivery.
  • Support rostering team with schedule updates and staff availability.
  • Participate in virtual meetings and contribute to operational planning.
  • Handle general clerical tasks including digital filing, transcribing, and correspondence.
  • Other tasks as delegated to support the ongoing functioning of the company.
What You Bring To The Role
  • Certificate III in Administration or equivalent (desirable)
  • Excellent communication and interpersonal skills
  • Prior experience working in healthcare, NDIS, aged care, or community services (highly regarded)
  • Ability to comply with and awareness of work health and safety (WHS)
  • Sound understanding of compliance in Aged Care and NDIS (including the quality standards, WHS, infection prevention and control, and SIRS) setting
  • The right to work unrestricted in Australia (evidence will be required)
  • A current National Police Records check, dated no later than 3 months from application (or willing to apply for one)
  • Working with Children Check (or willing to apply for one)
  • NDIS Workers Screening Check (or willing to apply for one)
  • Minimum 2 doses of the COVID-19 vaccination
