About the Role

We’re seeking a sharp, proactive, and business-savvy Executive Assistant to support our executive team. If you're highly organized, an excellent communicator, and experienced in managing fast-paced calendars and priorities, you’ll thrive in this role.

This is not just an admin role. We're looking for someone who can anticipate needs, manage day-to-day operations, and act as a strategic extension of our leadership.

You’ll act as the right hand to the executive(s), handling everything from scheduling meetings and managing inboxes to booking international travel, overseeing special projects, and running day-to-day virtual errands.

Responsibilities
  • Manage complex calendars and coordinate internal and external meetings across time zones
  • Draft, organize, and reply to high-priority emails and messages professionally and efficiently
  • Book and manage travel logistics: flights, hotels, transportation, visas, and itineraries
  • Run virtual errands and support personal executive needs when required
  • Prepare meeting agendas, notes, and follow-ups for internal and external calls
  • Organize digital files, receipts, and communications with vendors and partners
  • Act as a gatekeeper and liaison between the executive and stakeholders
  • Assist with light project management, research, and reporting as needed
  • Maintain confidentiality and act with discretion at all times
Qualifications
  • 3+ years of experience as an Executive Assistant, preferably in a fast-paced or startup environment
  • Highly organized with exceptional attention to detail
  • Strong written and verbal communication skills
  • Confident using tools like Google Workspace, Slack, Zoom, Notion, Calendly, etc.
  • Business-savvy mindset—understands how to prioritize based on urgency and impact
  • Experience booking and managing travel, events, and scheduling logistics
  • Self-starter with a high level of professionalism and follow-through
  • Able to anticipate needs and operate independently
