Executive Assistant to CEO/Investor Relations Support

**Full-Time, In Office, Monday - Friday

DESCRIPTION

The Executive Assistant supports and performs administrative duties for the Chief Executive Officer and the Investor Relations department. This individual possesses a positive attitude, strong attention to detail and is dedicated to producing quality results. Strong verbal and written communication skills are essential, as well as a polished presentation, professional demeanor, and great interpersonal skills. The candidate understands that no task is too small and tackles each request as such. Combination of some experience and/or interest in real estate is highly desired, and experience supporting executive-level staff is required.

JOB RESPONSIBILITIES

  • Provide confidential administrative support to the CEO and assist other executives and departments as needed.
  • Prepare ad-hoc reports for the CEO, varying in complexity and relating to business or personal projects. This often requires the ability to be resourceful; independently seeking out others for more information or self-educating on the matter to determine what components are important to the decision.
  • Communicate verbally and in writing with high-net-worth individuals and institutional investors, as well as a variety of business associates, organizations, and other professionals who interface with the CEO and the company.
  • Act as a liaison with other departments and outside business contacts: respond to requests for information, draft e-mails, and other communication on behalf of the CEO. The candidate will be expected to intercept tasks addressed to the CEO to complete independently or provide input enabling the CEO to make quick and effective decisions/replies.
  • Support investor relations activities and assist in preparing quarterly Board and annual presentations.
  • Maintain organized filing systems; retrieve and compile information efficiently.
  • Review and prepare legal and business documents (e.g., leases, contracts, amendments).
  • Oversee the CEO’s calendar, email, and travel (domestic/international) arrangements.
  • Review/process invoices; assist with vendor and contract negotiations.
  • Act as a personal assistant to the CEO.
  • Liaison with the CEO’s household to complete bookkeeping, insurance, travel, human resources, and/or IT-related tasks.
  • Plan and execute office events (holiday parties, team lunches, etc.).
  • Perform other duties as assigned.

REQUIREMENTS

  • Bachelor's degree is required.
  • 3-5 years of related administrative/secretarial experience and/or experience in the real estate/property management industry.
  • This is a full-time, Monday–Friday, in-office position.
  • Must be willing to occasionally respond to requests outside of standard business hours.
  • Intermediate to advanced proficiency with Microsoft Suite (Word, Excel, Outlook, PowerPoint). etc., Adobe Acrobat. Experience with other programs such as Juniper Square or Yardi is a bonus but not required. Excellent oral and written communication skills, including grammatical competency to be able to independently draft and edit correspondence and memos.
  • Superior organizational skills, proactive follow up and independent time management.
  • Proven ability to maintain highly confidential information.
  • Strong attention to detail and ability to learn quickly and follow directions.
  • Flexibility and adaptability in a changing and fast paced entrepreneurial environment.
  • A valid California's driver's license, good driving record and the ability to travel in Southern California as required for business purposes.
  • The ability to pass a criminal background check, drug screen, credit check and provide proof of authorization to work in the United States.
