Executive Secretary to Managing Director

Job Purpose:

To provide high-level executive and administrative support to the Managing Director and Chairman. This position requires a highly organized, discreet, and detail-oriented individual with exceptional communication skills and the ability to handle complex and confidential tasks in a fast-paced environment. The ideal candidate will have industry-related experience, superior English language proficiency, and advanced computer application skills.

Key Responsibilities:

Ø Manage and coordinate the daily schedule, appointments, and meetings for top executives.

Ø Prepare high-quality correspondence, reports, memos, and presentations in English.

Ø Handle confidential and sensitive information with the utmost discretion.

Ø Act as the first point of contact for internal and external communications on behalf of the MD and Chairman.

Ø Organize and coordinate executive meetings, including agenda preparation, minutes taking, and follow-ups.

Ø Maintain organized filing systems for both physical and digital documents.

Ø Coordinate local and international travel arrangements, including flights, accommodation, visa processing, and itineraries.

Ø Track and monitor pending approvals, tasks, and important deadlines.

Ø Liaise with other departments and external stakeholders professionally and efficiently.

Ø Assist in reviewing and formatting business documents related to marble quarry operations, calibration reports, and material sales.

Ø Perform general secretarial duties including managing emails, answering calls, and maintaining office supplies.

Desired Candidate Profile

  • Bachelor's Degree in Business Administration, English, or related field.
  • Minimum 5–7 years of experience as an Executive Secretary, preferably in the building materials or industrial sector.
  • Exceptional command of written and spoken English.
  • Excellent knowledge of office management systems and procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and other business tools.
  • Strong organizational and multitasking skills with attention to detail.
  • Professional appearance and demeanor.
  • Ability to work under pressure and meet tight deadlines.
  • High level of confidentiality, integrity, and discretion.
