Job summary

New Zealand Government's Treasury - NZ Debt Management division is seeking a Team Assistant to provide exemplary administration, secretarial and coordination support to leaders and their teams in Wellington. The role reports to the Manager, Risk, and supports across NZDM.

You will manage emails, diaries, coordinate meetings, prepare and edit reports, draft correspondence, create reports from databases, take minutes, and assist with resource, finance, HR and travel administration.

Qualifications

  • Demonstrated previous administrative experience.

  • Pro-active with a can-do attitude and able to multi-task.
  • Strong customer focus and excellent communication/interpersonal skills.
  • Excellent technical skills with Microsoft Office and digital tools.

Responsibilities

  • Email, inbox and diary management.

  • Maintaining and updating reports, including document editing, formatting and printing.
  • Developing and drafting a range of correspondence.

As Team Assistant (TA), you will provide exemplary administration, secretarial and coordination support to leaders and their teams to keep them running at full speed. While the role reports to the Manager, Risk, you will be working across all of NZDM. Should you be successful, your responsibilities will include:

  • Email, inbox and diary management,
  • Coordinating meetings and liaising with internal and external stakeholders,

  • Developing and drafting a range of correspondence,
  • Creating reports from databases,
  • Taking minutes and following through on actions,
  • Resource, finance (including invoice/payment), HR and travel administration,
  • Leading and assisting with event management, including logistics, presentations and programme scheduling,
  • Providing administrative support on projects, as required.

This is a permanent, full-time position (40 hours per week) based in Wellington, New Zealand.

You are a talented administrator who is ahead of the curve when it comes to modern processes and practices. You'll bring initiative and the ability to work at pace and prioritise effectively to support teams across a variety of work. You'll be a team player who enjoys working collaboratively as you will be called upon to assist with the wider business support network.

To be successful in this role, you will bring:

  • Demonstrated previous administrative experience,
  • A highly organised and efficient approach with an eye for detail,
  • A pro-active, can-do attitude and a desire to stretch your administrative capabilities,
  • The ability to multi-task, re-prioritise and react to issues that arise during the day whilst keeping calm and professional,
  • A strong customer focus, excellent communication/interpersonal skills and a passion for building great relationships,
  • Excellent technical skills and proficiency with Microsoft Office Suite and a range of digital tools,
  • A sense of fun - the teams are highly social and value personal interaction.

The base salary range for this role is band 13: $64,156.00 to $73,995.00. Appointments will be made based on the successful candidate's skills, experience, and alignment with the requirements of the role.
