Job summary

Fonterra is seeking an administrative professional to join the Edgecumbe site administration team. This full-time fixed-term role (5–6 months) supports visitors, records, reporting, and coordination across multiple teams on site.

You will manage documents, data, meetings, and site events while upholding health and safety, quality, and collaborative culture. The role runs Monday to Friday, 8.00am–4.30pm, on-site in Edgecumbe, New Zealand.

  • Ability to build positive working relationships across all levels of the business.
  • Proactive attitude, using initiative to solve problems and get things done.
  • Strong organisational skills with the ability to manage competing priorities.
  • High attention to detail and a commitment to accuracy.
  • Confidence using Microsoft Office and other business systems.

Responsibilities

  • Manage site administrative processes, documents, databases and systems, including site BCPs and continuous improvement of procedures, including PA support where required.
  • Prepare correspondence, meeting minutes, reports and other documentation.
  • Collect, analyse and summarise data to support accurate reporting and decision-making.
  • Coordinate meetings, appointments, travel, customer and external visits, and site events, including venues and catering.
  • Manage visitor enquiries, site access, inductions and security requirements.
  • Support procurement, purchase orders, supplies and budget tracking.
  • Manage the site pool car and light vehicle fleet.
  • Monitor compliance with policies and procedures, escalating issues where required.
  • Understand site risks, support effective controls and safe work, and respond appropriately to events and recovery needs.
  • Support a strong food safety and quality culture, proactively identifying and escalating issues that may affect safe, high-quality food.

About the Opportunity | Mō tēnei tūranga

As an integral member of the Edgecumbe Site and part of our administration team, you will be primarily responsible for assisting visitors to the site (from contractors to customers) and ensuring H&S requirements are met, carrying out a range of administrative duties and assisting other teams on site where required.

This is a full-time fixed-term opportunity 5-6 months, Monday to Friday, 8.00am to 4.30pm
