The role | Te Tūranga

  • Suit experienced medical receptionist or confident administrator
  • Opportunity to grow further and participate in process design and project work
  • 1FTE, predominantly based at our Moorhouse Ave site. 8.45am – 5.15pm Monday to Friday
  • Thrives in a fast-paced environment, uses initiative and able to problem solve, works well under pressure, experience leading clinical teams, commitment to patient care, be able to solve basic IT issues, inclusive and genuinely making a difference.
  • Experience with Indici patient management system an advantage.

Key Responsibilities | Ngā Haepapa Matua

  • Team leadership: motivate and inspire your team to achieve great outcomes for the community, provide administrative support and direction where required to ensure the smooth running of day-to-day operations.
  • General Administration & reception services:provide exceptional reception duties and ensure robust and seamless administration of our clinics, in conjunction with operational leads.
  • Quality Assurance: work with operational, clinical and quality leads to ensure highest possible standard of care is provided and all auditing requirements are met
  • Special projects: contribute to continuous improvement projects as required, ensuring progress against objectives and aims.
  • Invoicing & Reporting:Support: ACC, product, contractor and customer invoicing, and clinician reports through the practice management software. Operational performance reporting as requested
  • Xero Accounting:Handle invoicing, billing, reconciliations, statements, payroll, and reporting using Xero where requested.

Preferred Candidate Attributes | Ngā āhuatanga e hiahiatia ana

  • Experienced receptionist or medical receptionist or administrator
  • Excellent customer service skills including conflict resolution skills
  • Thrives under pressure, shows initiative, and has excellent problem-solving skills.
  • Keen to learn and progress
  • Takes initiative and able to work effectively alone or within a team
  • Experience with Indici patient management system an advantage but not mandatory
  • Knowledge of primary care funding streams and standards an advantage but not mandatory
  • Able to travel across Phoenix Health Hub sites as required
