DESIGNATION: Senior Manager Project Secretariat

Responsibilities
  • Financial:
    • Provide financial forecast and oversight on project budget and resources
    • Ensure compliance with financial and procurement policies & procedures
    • Coordinate purchasing via procurement system and performing goods receipt
    • Coordinate with Finance and funders on project fundings and claims
    • Monitoring progressive billing and progressive claim status
    • Ensure compliance with funding terms and conditions
    • Accounting for funded assets and recording of capital expenditure
  • Secretariat:
    • Maintain dashboard and coordinate reports on project progress
    • Coordinate risk management tracking and embed into progress report
    • Provide secretariat support to all Project GROW meetings including but not limited to: Project GROW Steering Committee, Project GROW Working Committee, School Operation Committee relating to Project GROW
    • Follow up on matters arising with persons responsible
  • Administrations and Reporting:
    • Coordinate the preparation of reports and submission to funders and government authorities
    • Provide periodic progress report to management
    • Coordination for signing of agreements and coordinating compliance with terms and conditions
    • Ensuring proper knowledge management and filing
    • Facilitate audit
  • Other duties:
    • Additional duties as necessary
Qualifications
  • Degree in civil engineering, accountancy and/or business.
Other Information
  • Minimum of 8 years of relevant experience.
  • Experience in project management, coordinating site refurbishment, fund accounting, social service sector and/or good IT knowledge are advantageous.
  • Good writing and communication skills.
