We’re looking for a highly organised Project Operations & Client Services Manager to join us on a 12-month parental leave cover.

You’ll be the central link between our clients and internal teams — coordinating projects, managing schedules, and ensuring everything runs smoothly from idea to delivery.

What You’ll Do
  • Lead and manage projects — from discovery and scoping through to delivery — across both our Creative and Cloud teams.
  • Oversee large-scale website builds, ensuring milestones, budgets, and client expectations are met.
  • Plan and coordinate digital marketing campaigns, working alongside our design, content, and technical specialists.
  • Schedule team workloads, track project progress, and maintain visibility across all active jobs.
  • Manage client communication — provide updates, capture feedback, and ensure clear next steps.
  • Review and prepare job tickets for billing in Autotask and Xero, ensuring everything is accurate and ready for invoicing.
  • Identify process improvements and help refine how we manage projects, timelines, and team collaboration.
  • Support the Managing Director with project forecasting, reporting, and resourcing.
What You’ll Bring
  • Agency experience is a major advantage — you understand the pace, priorities, and client-facing expectations of a creative or digital environment.
  • 3+ years’ experience in project management, client service, or operations, ideally within a creative, marketing, or IT agency.
  • Proven ability to manage multiple projects and deadlines simultaneously.
  • Strong communication skills — confident with clients, clear with team members.
  • Excellent organisation, time management, and attention to detail.
  • Proficiency with digital tools and systems (Autotask, Xero, Microsoft 365, or similar).
  • A proactive, solution-focused mindset — you keep things moving and know how to get results.
The Details
  • Type: Fixed-term (12 months parental leave cover)
  • Hours: Full-time (approx. 40 hours per week)
  • Location: Palmerston North office
  • Reports to: Managing Director

This fixed-term role covers the duties of an employee on parental leave. Depending on business needs and performance, there may be an opportunity for the role to continue or transition into a permanent position — however, no guarantee of ongoing employment is given.
