Evolve Outdoors is seeking a highly organised Production Coordinator to support 20 hours per week for photoshoots in Ngauranga, Wellington. You will coordinate shoot plans, schedules, budgets, and on-site logistics, acting as the link between creative teams, photographers, talent, and suppliers to deliver polished campaigns.

In this fixed-term role, you will help manage budgets, book travel, arrange location logistics, and support post-production coordination while contributing to the outdoor

Production Coordinator (photoshoots) - 20 hours per week

About the role We are seeking an organised Production Coordinator to join the marketing team at Evolve Outdoors for a fixed-term contract until February 2026. This is a part-time position working 20 hours per week, based in Ngauranga, Wellington. In this role, you will be responsible for planning and coordinating photoshoots, ensuring smooth execution from initial planning through to final delivery.

You will be a key liaison between creative teams, photographers, talent, and other stakeholders, playing a vital part in bringing our visual marketing campaigns to life. This position offers an excellent opportunity to develop your skills in production coordination whilst working within a dynamic outdoor retail environment.

Key responsibilities
  • Coordinate shoot schedules, timelines and logistics
  • Manage locations, talent, apparel and equipment
  • Book travel, accommodation and suppliers
  • Managing budgets and tracking production expenses to ensure shoots remain within allocated funds
  • Coordinating with photographers, creative teams, talent, and location managers to facilitate seamless production execution
  • Prepare shoot plans, call sheets and production schedules
  • Managing equipment, props, and product inventory for shoots, including organisation and tracking
  • Liaising with internal stakeholders to understand campaign objectives and creative requirements
  • Attending photoshoots to provide on-set coordination and troubleshoot any issues that arise
  • Post-production coordination, including managing file transfers, approvals, and communications with editing teams
  • Maintaining detailed production records, timelines, and documentation for reference and future campaigns
  • Supporting the wider marketing team with administrative tasks and campaign support as needed.
What we're looking for
  • Proven experience in production coordination, event coordination, or similar role, within marketing, advertising, or creative industries
  • Excellent organisational and project management skills with the ability to juggle multiple photoshoots and deadlines simultaneously
  • Strong communication and interpersonal abilities, with confidence liaising with diverse stakeholders
  • Attention to detail and a proactive problem-solving mindset
  • Strong written and verbal communication skills
  • Experience managing budgets and tracking production costs
  • Familiarity with production management tools and software (or willingness to learn)
  • Knowledge of photography, videography, or production processes is highly advantageous
  • A passion for the outdoors and understanding of outdoor retail is desirable.
