A medical practice in Nelson is seeking a motivated Medical Secretary to join their administrative team. The successful candidate will manage reception duties, provide excellent communication, and support the smooth running of the practice. Ideal candidates will have previous experience in a GP practice and relevant qualifications. This role offers comprehensive training and the chance to work in a supportive environment.
We are looking for a motivated and enthusiastic personwith the ability to work as part of our administrative team.
The successful applicant will need to be computerliterate and have good communication skills.They willalso provide a courteous, efficient and effective reception service to allpatients and other staff members.
To assist in the smooth running of the practicein general, and the reception area in particular. To project a positive andfriendly image to our patients and other professionals who may contact useither in person or via the telephone.
Previous experience is desirable, however, full training will be provided.
We are a single handed practice with a list of 2,700 patients. This is a great opportunity to work within our team of: 1 GP, Practice Manager, Practice Nurse, Clinical Pharmacist, Health Care Assistant and 3 medical reception staff.

TITLE OF POST: MEDICAL SECRETARY
RESPONSIBLE TO: GP & PRACTICEMANAGER
GRADE: Band 2
GENERALDUTIES
To provide acourteous, efficient and effective reception service to all patients, otherstaff members and outside bodies. Toensure that filing, record keeping and distribution of documents are undertakenefficiently and promptly.
SPECIFICDUTIES AND RESPONSIBILITIES
1)Re-organiseand support the practice in the reception area.To report any problems to the Practice Manager
3)Tomaintain confidentiality regarding patient diagnosis and treatment at alltimes.
4)Answerin coming calls to the practice within the agreed timescale (within 3-5 rings).
5)Makenew and follow up appointments. Receiveand direct patients on arrival
6)Recordall requests for visits and inform the GP as soon as possible.
7)Takingdictation from the GP and ensuring referral/private letters are typed within 48 hours.
8)Preliminaryinvestigations if any complaints made against the Practice, and then pass onto Practice Manager.
9)Printcomputerised repeat prescriptions (and deal with EPS) and ensure they arechecked and signed before handing to patients.
10) Update change of names and addresses oncomputer when notified by patients.
11) Tidy and ensure safety of consulting rooms atthe end of each surgery.
12) To ensure the security and maintenance of thepractice filing system.
13) Responsible for stock checking of stationeryand prescriptions
14) Attendance on training courses as determined bythe Practice Manager.
15) To cover other members of staff for holidays,sickness and emergency or for any other reason. To liaise with all other staff and also to dosplit shifts. Responsible for the smooth running of thepractice on a daily basis and ensure cover at all times.

17) Summarising patients records using theappropriate policy
18) Ensuring a correct record of solicitorsrequests for photocopies is kept and the correct fee is recovered.
19) Ensuring all medical records are tagged andkept in chronological order (10 medical records tagged on a weekly basis).
20) Ensuring all tasks delegated by the PracticeManager or GP are completed appropriately in the best possible manner iecytology recall etc.
21) Safeguarding Take responsibility ofidentifying and reporting anything in relation to this. Keep abreast of new changes and attend anytraining sessions as identified.
22) Any other duties asked by Doctor or PracticeManager.
COMPUTER
1)Overallresponsibility for reporting faults with equipment to EMIS and keeping anup-to-date log book to ensure follow up of complaints.
2)Ascertaina good working knowledge of the computer system to assist in training otherstaff.
3)Tomeet the future demands in the Practice and to ensure that accurate data isentered into the system.
4)Anyother duties as deemed appropriate.
