Job summary

Fonterra Te Mātāpuna is seeking a capable administrative coordinator in the Waikato region to support site operations and executive services. The role offers a full-time, Monday–Friday schedule with standard business hours and a focus on accuracy, organisation and stakeholder engagement.

You will manage documents, coordinate meetings, assist with procurement and budgeting, and help maintain strong food safety and quality culture across the site.

  • Experience in an administrative or coordination role, with strong communication and customer service skills.
  • The ability to build positive working relationships across all levels of the business.
  • A proactive attitude, using initiative to solve problems and get things done.
  • Strong organisational skills, with the ability to manage competing priorities.
  • High attention to detail and a commitment to accuracy.
  • Confidence using Microsoft Office and other business systems.

Responsibilities

  • Manage site administrative processes, documents, databases and systems, including site BCPs and continuous improvement of site procedures, including PA support where required.
  • PA support for the Site Operations Manager.
  • Demonstrated experience sitting on Site or senior leadership teams in a supporting role.
  • This role requires a high level of trust and confidentiality.
  • Collect, analyse and summarise data to support accurate reporting and decision-making.
  • Coordinate meetings, appointments, travel, customer and external visits, and site events, including venues and catering.
  • Manage visitor enquiries, site access, inductions.
  • Support procurement, purchase orders, supplies and budget tracking.
  • Manage the site pool car and light vehicle fleet.
  • Monitor compliance with policies and procedures, escalating issues where required.
  • Understand site risks, support effective controls and safe work, and respond appropriately to events and recovery needs.
  • Support a strong food safety and quality culture, proactively identifying and escalating issues that may affect safe, high-quality food.

This is a full-time permanent opportunity Monday to Friday, 8.00am to 5pm
