Job description

Come join a passionate team as we are seeking a highly organised and proactive Administrative Assistant to support our Rolling Stock Maintenance team and wider business objectives. This role is suited to someone who enjoys variety, thrives in a fast-paced environment, and has a knack for keeping things running smoothly.

The successful candidate will be based at our Wiri Depot majority of the time with a couple of days based at our Queen Street office or as required.

Your key responsibilities include:

  • Manage procurement and inventory of maintenance consumables, tooling, PPE, and office supplies
  • Coordinate office and depot maintenance, carpark register, company vehicle servicing, and equipment repairs
  • Process invoices, purchase orders, and receipts in alignment with finance and procurement policies
  • Support payroll-related tasks, travel privileges, ID cards, name badges, and access cards for staff and contractors
  • Assist with Maximo functionality testing, data input, and support for the Maintenance Fleet Transition Project
  • Collaborate with the Executive Assistant to provide administrative support across departments. This includes organising catering, logistics for meetings, functions and engagement events across our Queen St office and various depots


Requirements

  • Proven experience in an administrative, operations, or office coordination role
  • Strong knowledge of procurement and financial systems (Maximo experience preferred)
  • Excellent communication and strong interpersonal skills
  • Highly organised, detail oriented with the ability to multitask
  • Proactive problem-solver with a team-first attitude
  • Flexibility to travel across various offices and depots as required
