Overview

This role mainly supports and is responsible for coordinating office daily operation, supporting decision-making processes, and managing fit-out project implementation, ensuring timely, cost-effective, and high-quality outcomes in alignment with Lidl & Kaufland Asia’s business needs. This role will also need to support and manage other facility management related tasks. The objective of the position is to oversee and support the efficient operation of our office facilities in a highly organized manner. This role involves managing vendor relationships, coordinating maintenance activities, supporting space planning, and ensuring compliance with company standards and safety regulations. Also, to bring strong administrative skills, a proactive mindset, and a solid background in facilities or office management.

What you\'ll do
  • Oversee office daily operations in Singapore
  • Collaborate with line manager and other team members to optimize office space utilization and workplace efficiency.
  • Support space reconfiguration, employee move planning, and accommodation strategies in line with evolving Lidl & Kaufland Asia’s business needs.
  • Identify opportunities to reduce costs and improve operational efficiency through strategic sourcing, energy management, and asset lifecycle planning.
  • Drive sustainability initiatives including energy reduction, waste management, water efficiency, etc.
  • Manage and maintain full spectrum of office administrative and facilities services.
  • Key point of contact with Building Management and vendors. Vendor management, involve in price and contract negotiations, review of facility-related
  • Handle inventory management for office supplies and grocery in pantry.
  • Reviews and check against quotation & invoices, ensuring accuracy is in place.
  • Provide daily office facilities support, including but not limited to equipment maintenance and office supplies control.
  • Maintain accurate records of facility operations, inspections, and maintenance schedules.
  • Assist the operation at reception when required.
  • Supervise, monitor, and assign duties for outsource cleaners.
  • Ensure team deliver expected consistent performance, staff development and encourage teamwork.
  • Leads office A&A projects in Singapore, including feasibility, budgeting, vendor management, and quality control.
  • Support on Health and Safety areas.
  • Support FM manager in developing standard workflow, policies, and SOPs to manage all LKA offices in a more consistent and efficient way
  • Support on the corporate event activities
  • Work on ad-hoc tasks and projects in Facilities Management Team
What you\'ll need
  • Bachelor’s degree in Facilities Management, Architecture, Business Administration, or a related field.
  • Minimum 5 years of experience in office leasing, workplace projects, or facilities coordination.
  • Familiarity with office project management in Asian countries incl. Singapore, Hongkong and southeast Asian countries.
  • Strong analytical and organizational skills, with attention to detail.
  • Excellent communication and interpersonal abilities; able to work across cultures and functions.
  • Proficient in Microsoft Excel, PowerPoint, and project tracking tools.
  • Fluent in English
