Job summary

Health New Zealand | Te Whatu Ora is seeking an Administration Support/Typist to join the Older Adult Mental Health Service at Palmerston North Hospital. This permanent part-time role is 0.45 FTE (18 hours per week) based on site.

You will provide high-quality administration and typing support, including transcription, letters, assessments and discharge summaries, data entry, referrals and records management, while supporting an efficient office environment.

Qualifications

  • Proven experience in an administrative or customer service role.
  • Strong computer literacy, keyboard and data entry skills.
  • Excellent telephone and customer service skills.
  • The ability to work within established administrative processes, systems and procedures.
  • Strong organisation, time management and prioritisation skills.

  • High levels of professionalism, confidentiality, integrity and reliability.
  • Experience working within the health sector would be desirable.

Responsibilities

  • Transcribe clinical dictation and prepare letters, assessments and discharge summaries.
  • Data entry, manage referrals and maintain clinical records.
  • Monitor shared inboxes and support general office administration.
  • Collaborate with a multidisciplinary team to ensure timely documentation.

About the Role

We are seeking an experienced Administration Support/Typist to join our Older Adult Mental Health Service based at Palmerston North Hospital. This is a permanent part-time role working 0.45 FTE, 18 hours per week.

In this role, you will provide effective, efficient and high-quality administration and typing support to the Older Adult Mental Health team. You will be responsible for a range of duties including transcription of clinical dictation, preparing letters, assessments and discharge summaries, data entry, managing referrals, maintaining clinical records, monitoring shared inboxes, and supporting general office administration.

You will work as part of a supportive multidisciplinary team and play an important role in ensuring clinical documentation and administrative processes are completed accurately and within required timeframes. Your strong organisational skills, attention to detail and customer-focused approach will support the delivery of quality care to older people, their whānau, clinicians and the wider service.

About You

As an Administration Support/Typist, you will bring excellent communication skills, strong administration experience and the ability to work effectively in a busy healthcare environment.

You will have:

About the Team/Service

The Older Adult Mental Health team provides specialist mental health services for older people in our community. The Administration Support/Typist role is an important part of the team, supporting clinicians and ensuring the service runs smoothly through accurate, timely and professional administrative support.
