Administration Officer - Fixed Term Maternity Cover

Reports to: Head of HR and Administration Department

Key Responsibilities, including but not limited to:

  1. Office administration
  2. First point of contact for visitors and phone calls as the receptionist;
  3. Facilitate visitors to meetings with management and staff, and welcome visitors with suitable drinks;
  4. Keep the reception, kitchen, and office areas clean and tidy;
  5. Manage meeting rooms and provide conference facilities;
  6. Act as the representative for Office Health and Safety;
  7. Organize health and safety training;
  8. Receive and send mails, documents, and handle items delivered to the bank's address;
  9. Ensure a productive working environment and maintain essential office supplies;
  10. Manage budgets, purchases, and payments for administrative functions;
  11. Maintain security procedures and monitor logbooks;
  12. Support operational documentation, communications, and translation;
  13. Assist in arranging in-house and external events;
  14. Prepare and draft reports in English and Chinese;
  15. Liaise with staff in other departments and external contacts.

  2. Provide secretarial or executive support for management;
  3. Assist in organizing board, sub-committee, and management meetings, including recording minutes.

Qualifications and Requirements:

  • Effective communication and problem-solving skills; ability to handle multiple tasks and work under stress; team spirit;
  • Proficiency in both written and verbal English and Mandarin;
  • Eligible to work in New Zealand.
