About the role

As the Administration Assistant in the Mayor’s Office you will put your strong administration and time management skills to good use. You will provide a friendly and welcoming reception environment for the Office of the Mayor as you assist the Executive Assistant to the Mayor in providing administration services, civic hosting, and assisting to organise civic functions for the City.

This is a full-time, permanent position, working 40 hours per week, Monday to Friday.

In this role your focus will be:

  • Performing word processing duties, coordinating meeting logistics, and complete other administrative tasks as required.
  • Assist in managing the Mayor's public facing inbox, handling correspondence, and preparing documents.
  • Receiving and following up enquiries and requests.

About you

Your communication skills and dedication to providing first-rate customer service to both internal and external clients are essential. You'll excel in establishing and maintaining effective working relationships, crucial for collaborating with colleagues and providing administration support. Your background will be complemented by your initiative, excellent organisational skills, and ability to use your initiative.

In addition, you will:

  • Have experience in reception and administration, with a good understanding of basic office procedures.
  • Be a competent user of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with the ability to adapt to new software and technologies
  • Demonstrate customer focussed approach to work
  • Have the ability to maintain confidentiality in handling sensitive material and being privy to sensitive issues
