About the role

We are seeking an organised and proactive Administration Assistant (0.75FTE) to provide efficient and accurate administration and office support across our organisation. This role ensures our systems and people can deliver reliable services to the rural community and wider Waitaki region.

This position is a job-share role, working alongside a colleague in a complementary 0.5FTE position. Together, you’ll provide continuity and coverage across the organisation while each having defined areas of focus. Your work will be varied, and you’ll be involved in everything from finance and governance support to reception, customer service, and records management.

Success will come from being collaborative, adaptable, and confident in your communication, as your role will see you working with people across the organisation.

Key Responsibilities
  • Provide responsive administration and customer service support
  • Manage reception duties, including phone and visitor enquiries
  • Process accounts payable/receivable and ensure financial records are accurate
  • Maintain accurate databases and records across multiple systems
  • Support governance functions by preparing meeting papers, taking minutes and distributing documentation
  • Support day-to-day office operations, including diary co-ordination, supplies and document administration
  • Provide support for intra-company projects and cross-team liaison
About you

You’ll be an intermediate-level administrator who combines accuracy and attention to detail with a friendly, approachable style. Calm under pressure and reliable, you enjoy supporting others, building strong relationships, and working as part of a team.

  • Previous administration experience, with financial administration exposure and practical experience using Xero (or similar accounting software)
  • Team-oriented with the ability to build positive relationships
  • Calm under pressure and able to prioritise
  • Strong, clear and concise written and verbal communication skills
  • High attention to detail, organised, honest and reliable
  • Experience with governance administration
  • Familiarity with CRM or multi-database systems
