The Company

Responsibilities
  • To help with the coordination and organisation of business Awards Evenings, Forums and Roundtable events as well as assisting with 2 annual exhibitions.
  • Work with the web team and marketing manager to keep the in-house awards platform and website up to date with awards branding, sponsor logos, judges details and category criteria.
  • Monitor entries and update the editorial/sales teams.
  • Collate award entries and send to sponsors/judges.
  • Help organise the judging days, either face to face or virtually.
  • Manage all the communication with finalists and winners.
  • Work with the production team to produce finalist/winner logos, certificates, finalist and winner’s e-brochures etc.
  • Monitor table sales and the collation of the guest names and dietary requirements both via the website and email.
  • Send all table bookers/sponsors/VIP guests final details and provide the main point of contact for any table booking enquiries.
  • Help in the research and production of sponsored assets and negotiate with suppliers.
  • Source, order and proof trophies for each event.
  • Prepare all onsite material and equipment and organise transportation to the venue.
  • Managing the table setup onsite (name places, centrepieces, sponsor assets etc.).
  • Forums: Work with the marketing and web team to set up the website for registrations; manage online registrations and track attendance numbers, dietary requirements, etc.
  • Managing the badging and registration of delegates onsite.
  • Coordinating the transportation to the venue of all onsite equipment, signage etc.
  • Liaising with the editorial team to help organise round table events; email invites to potential delegates, collate responses and monitor attendee numbers.
  • Researching possible venues and catering options, managing all logistics with the chosen venue.
  • Keep a running budget for the event and ensure costs are kept within the budget provided by the Commercial Director.
  • Liaising with the sponsor coordinator.
  • Manage the virtual/physical event on the day.
Requirements
  • Experience of organising awards evenings (desirable).
  • High attention to detail.
  • Highly articulate, confident and eager to learn and develop.
  • Able to work from Central London offices twice a week.
  • 2:1 Degree (or higher).
  • Strong written and spoken English.
  • Team player.
